Overview

The Registration Specialist reports to and receives direction from the Access & Financial Engagement Supervisor and is responsible for registering patients at Dana-Farber Cancer Institute (DFCI). These functions include, but are not limited to, collecting and updating demographic and insurance information, confirming insurance eligibility, verifying benefits, and assisting patients with sign up for Patient Gateway. 

In addition, the Registration Specialist is responsible for the timely and accurate completion of assigned work queues. This role requires a commitment to service excellence, the ability to work in a fast-paced environment, and a knowledge of the overall financial policies and procedures at DFCI.

This position's work location is fully remote with occasional time on-campus in Longwood Medical Area. The selected candidate may only work remotely from a New England state (ME, VT, NH, MA, CT, RI).

Responsibilities

PRIMARY DUTIES AND RESPONSIBILITIES:

With direct supervision, the Registration Specialist:

  • Pre-registers new Adult and Pediatric patients by making/receiving patient calls or receiving/sending messages via a Customer Relationship Management tool.
  • Collects and accurately documents patient demographic, financial, and other relevant personal information into Epic.
  • Verifies patient identification, and confirms and updates patient demographics, patient contacts, insurance information, and PCP.
  • Completes the Medicare Secondary Payer questionnaire with all Medicare Beneficiaries.
  • Assists patients with sign up for Patient Gateway and obtains signature for Registration consent forms via eCheck-In when possible: General Consent for Treatment, HIPAA Notice for Privacy Practice, Patient Rights and Responsibilities, New Patient Information, and DFCI Virtual Care Consent.
  • Manages insurance coverage questions for patients, potentially working with the DFCI Financial Counselor.
  • Works eligibility work queues to identify invalid insurances for patients and escalates patients as needed to a Financial Counselor for assistance.
  • Complies with all Dana-Farber and HIPAA confidentiality policies.
  • Manages eligibility and coordination of benefits claim denials as assigned through daily work queues and documents activities into the hospital information system; may require contacting the payer and/or the patient to obtain the correct insurance information.
  • Updates changes to patient insurance and/or demographic information as needed.
  • Reviews daily error reports and makes necessary demographic updates in Epic.
  • Implements downtime procedures during planned and unplanned system downtime events.
  • Documents daily activities in a timely, thorough, and accurate manner in the hospital information system and department templates.
  • Promotes and maintains positive working relationships within the department, within the institute, with Brigham and Women’s Hospital, Boston Children’s Hospital, and with the DFCI regional campus locations. Completes assigned work queues, projects, and other duties, as directed.
  • Performs other duties as assigned.

Qualifications

MINIMUM JOB QUALIFICATIONS:

  • High school diploma or GED required; Bachelor’s Degree preferred.
  • 0 years of experience required; 1 year of customer service or hospital/physician office registration experience preferred.

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

  • Basic knowledge of insurance plans, medical registration or billing systems.
  • Basic knowledge of Epic or other hospital information systems.
  • Customer service and communication skills, both written and verbal.
  • Good judgment, tact, and sensitivity.
  • Relationship building skills and collaboration.
  • Proficient use of Microsoft office.
  • Ability to prioritize work and meet pre-determined deadlines, with direction.
  • Ability to work with sensitive patient information and maintain confidentiality.
