Rutgers, The State University of New Jersey is seeking a Senior Project Administrator for the University Finance and Administration (UFA) Project Management Office (PMO.) Reporting to the Associate Director of Project Management, the Senior Project Administrator is responsible for supporting the UFA PMO Project Management pillar in various responsibilities related to the successful planning, scheduling, management, and implementation of multiple projects, initiatives, and programs comprising the UFA PMO project portfolio.
Key duties:
  • Works closely with PMO Project Managers and Project Teams to fulfill various duties and responsibilities related to project management, including monitoring project progress, assisting with resource and meeting scheduling, managing project collaborative resources, implementing risk management strategies, and a variety of other project management administrative tasks.
  • Develops and maintains internal and external project documentation, including project status reports, meeting agendas and minutes, risk logs, stakeholder assessments, process maps, flowcharts, business requirements documents, and current state assessments.

Consistent with the current application of Rutgers Policy 60.3.22, this position may be eligible for a hybrid work arrangement.
The flexible work arrangements outlined in Rutgers Policy 60.3.22 are part of a pilot program that is effective September 1, 2022 through August 31, 2024. Therefore, there is no guarantee that this flexible work arrangement will continue beyond that date. Flexible work arrangements are not permanent, are subject to change or cancellation and contingent on the employee receiving approval in the FlexWork@RU Application System. Qualifications


Minimum Education and Experience
  • Bachelor’s Degree or equivalent combination of education and/or experience.
  • A minimum of 5 years experience in project management-related roles.
Certifications/Licenses

  • Experience working with a diverse team with conflicting needs or requirements.
  • Ability to multitask effectively and work on multiple concurrent workstreams.
  • Demonstrated written, verbal, and presentation skills.

Preferred Qualifications
  • Prior experience working in a Higher Education environment.
  • Strong understanding of social communication and collaboration platforms.
  • Project Management certification (PMP, ACP, APM, etc.).

Physical Demands and Work Environment
  • The Senior Project Administrator will be expected to work efficiently and effectively in a hybrid work environment, with equal efficacy in in-person and remote work capacities.
  • The incumbent will be expected to travel as needed between different site locations to participate in collaborative and deliberative meetings with project teams and business and technical process stakeholders.
