Overview
The Division of Institutional Planning & Operations (IP&O) employs a workforce of approximately 2,700 staff, represented by 15 collective negotiations agreements, and is responsible for institutional strategic initiatives and operations, which encompasses an expansive range of comprehensive service and business operations across the State of New Jersey. These include planning and construction, facilities, public safety and emergency operations, environmental health and safety, transportation, housing, and auxiliary/retail operations.
Posting Summary
Rutgers, The State University of New Jersey, is seeking a Department Administrator for the Division of Institutional Planning & Operations (IP&O). Under the guidance and direction of the Assistant Director, this position provides business, operational, analytical and administrative support to the Utilities Department in Institutional Planning & Operations (IP&O). In support of the Utilities Department, this position provides departmental administrative support of activities including the department calendar; purchase orders/invoices, office equipment support, data collection/spread sheets, work orders, asset management and coordinates initiatives as assigned by the Assistant Director/Director.
Among the key duties of this position are the following:
  • Coordinates the administration of processes associated with maintenance, repair/replace and renovation projects.
  • Assists with the preparation and implementation of administrative guidelines and procedures.
  • Creates informational materials; prepares, processes, and controls records, statistics, reports, and documents; and/or performs support functions including analytical reviews.
  • Schedules appointments; arranges and coordinates department logistics; and completes other work consistent with a broad understanding of the mission, vision, role, and goals of IP&O. Serves as liaison with internal/external units and vendors.
  • Works under general supervision, within established work parameters, with few direct instructions.
  • Performs professional work that requires knowledge of general administrative/office management principles and practices.

Qualifications


Minimum Education and Experience
  • Bachelor’s degree in a related field, or an equivalent combination of education and/or experience.
  • A minimum of five years’ relevant experience in an administrative function.
Certifications/Licenses
Required Knowledge, Skills, and Abilities
  • Good communication and interpersonal skills, and computer literacy.
Preferred Qualifications
  • Experience in a Facilities Maintenance/Operations, Utilities or Renovations office is preferred.
Equipment Utilized
  • Must be proficient in using computers (i.e. Excel, Microsoft, etc.), and data entry/analysis.
Physical Demands and Work Environment
  • Expected to function in a professional office/field work environment.

Immunization Requirements
