JOB SUMMARY

The Associate, Partnerships will play a central role in coordinating the grant-making activities for the Partnerships team, within the Executive Office. The role will provide project management, financial, and administrative support for the Partnerships, Equity, and Sector Strengthening grant portfolios and any additional funds overseen by the Partnerships team, and act as the primary liaison between internal departments, grantees, and external consultants. The position will provide budget monitoring and planning, financial analysis and due diligence, and portfolio process management, participate in programming discussions and be conversant with the Foundation's grant-making approaches. They will provide support for key operational areas of the team, including project tracking and knowledge sharing, contribution to project reports, and planning convenings. The Associate will participate in project and department-wide activities, meetings, and conferences as a team member. This role reports to the Partnerships Officer.

RESPONSIBILITIES

Grantmaking Support

  • Manages end-to-end process of grant making (sending out requests for proposals, driving key deadlines for submissions, and revisions, as well as sending reminders to grantees for required reporting within our internal investment system, GivingData).
  • Works with Grants Management to comply with internal audit and grant tracking procedures and grant making processes.
  • Assists the Partnerships Officer with proposal research, summaries, and budgets during the application review process.
  • Tracks grant deliverables and the ongoing management and closeout of grants.
  • Provides detailed financial portfolio analysis and ensures data integrity to support the team's decision-making.
  • Work with team members to keep all pertinent information accurate and up-to-date for reporting and analysis.
  • Reviews and analyzes submitted grant applications, including due diligence on all grantees and potential grantees, in coordination with Grants Management and Officer.
  • Updates and tracks grant-related information in the grants management database, including reports and grant payment information.
  • Provides support to the Officer with board write-ups and presentation materials, including dashboard analytics and memos to the board.
  • Performs partnerships-related research and other projects as assigned.

 

Project Management

  • Meets regularly with team to review project pipeline, identify pending deadlines, and ensures everyone is on the same page and workflow is moving forward.
  • Tracks and maintains a comprehensive overview of the portfolios beyond the grant dollars, including tracking of the Equity Fund issue areas such as potential partners and key connections.
  • Documents good practices, synthesizes, and shares lessons learned to incorporate into the grantmaking process.
  • Supports the Partnerships team and monitoring, evaluation and learning (MEL) partners by sharing information, gathering relevant materials, and coordinating work.
  • Works closely with team in planning convenings of grantees, stakeholders, and MEL partners.

 

Program Operational Support

  • Provides support to the Director and Partnerships Officer with travel, appointments, contacts, correspondence, reports and maintenances of information, as needed.
  • Assists the Director and Partnerships Officer in planning annual convening of grantees and stakeholders.
  • Leads logistical support for convenings.
  • Coordinates partnerships related events such as internal and external meetings, conferences and presentations.

Communications

  • Supports the Partnerships team with the development of communications materials.
  • Collaborates with communications team to distribute communication materials to appropriate audiences.
  • Maintains team contacts and email lists.

QUALIFICATIONS

Required

  • Bachelor's degree in public health, public policy, social sciences, social welfare, or a related field, with a minimum of 3-5 years of experience.
  • Minimum of 3-5 years of relevant work experience, preferably in the nonprofit sector.
  • Solid organizational skills, able to effectively manage multiple projects and prioritize workflow to meet deadlines and stay within budget.
  • Ability and experience in integrating equity and inclusion perspectives into team initiatives.
  • High attention to detail and accuracy in producing high quality work.
  • Excellent writing, editing and verbal communication skills.
  • Ability to develop collaborative work relationships, internally and externally, to achieve effective outcomes.
  • Works well independently and collaboratively within a team and demonstrates a high degree of initiative, resourcefulness, and flexibility to meet needs of the role.
  • Ability to continually seek information and look for new approaches to processes and practices.
  • Excellent computer skills to include Microsoft Office and database experience, with high proficiency in Microsoft Excel.

 

Desired

  • Project Management Certification (PMP or otherwise).

The hiring base salary range for this position is $74,000 to $99,000. The final base salary will be determined based on individual qualifications and experience.
