The Department of Molecular and Cellular Physiology (MCP) in the School of Medicine is seeking an experienced, enthusiastic, and motivated candidate for our Senior Administrative Associate (Administrative Associate 3) opening. This position will provide administrative and operational support to faculty members. This position also supports a key department-wide function in providing research administrative support (Pre-award) for MCP Faculty research proposal submissions and working providing administrative support for 75+ postdoctoral scholars in MCP. This position is part of a collaborative team of nine administrative staff who support our 15 faculty in MCP along with their labs, research staff, postdocs and graduate students.

You will work in a fast-paced academic research environment, support a diverse group of people, and perform a broad range of duties with frequently shifting priorities. You will also share in our commitment to maintaining a positive, productive, and inclusive work culture. Planning, communication, independent problem-solving and strong time-management skills are essential. Administrative professionalism, creativity, clear communication and interpersonal skills are highly valued.

Daily activities include managing lab orders, working with vendors, processing reimbursements, scheduling, travel management, onboarding new lab members, and helping with lab communication. Other key tasks include assisting faculty members with teaching support, and organizing office space and assigned labs.

This position will be based on the Stanford campus but we expect this position will be eligible for part-time telecommuting. The MCP Administrative team is dedicated to flexible work arrangements and has setup many hybrid work arrangements -- a mix of on-site and off-site work -- with input from staff.

Duties include:

• Act on behalf of the supervisor, department manager, or chair in regards to establishing priorities and identifying and resolving problems that are administrative in nature.

• Oversee and/or perform duties associated with scheduling, organizing, and operating complex conferences, seminars, and events, including arranging with vendors for services, overseeing the production and distribution of materials, administering logistics, and managing event within budget.

• Compose and draft documents and correspondence for presentations, course handouts, grants, conferences, seminars, and reports; perform substantial editing and fact checking. Create, maintain, modify, and/or ensure accuracy of content in various unit documents, displays, reports, brochures, social media, and/or websites.

• Plan and schedule calendar(s) with limited consultation, resolve calendaring conflicts, and arrange travel in compliance with unit, university, and sponsor policies.

• Create complex reports and spreadsheets which may utilize specialized software and systems.

• Oversee and/or process a variety of complex financial transactions; produce, monitor, and reconcile budget statements; research, identify, and resolve discrepancies. May assist with capital or special equipment requests and/or vendor selection.

• Work on departmental projects assigned projects as needed.

The expected pay range for this position is $31.73 to $43.75 per hour.

EDUCATION & EXPERIENCE (REQUIRED):

High school diploma and four years of administrative experience, or combination of education and relevant experience.

• Frequently sitting.
