Supervises, plans and coordinates the activities and operations of the campus bookstore; coordinates assigned activities with other divisions, outside agencies and the general public; and provides highly responsible and complex staff assistance to the Vice President, Finance and Administration.

Essential and other responsibilities and duties may include, but are not limited to, the following:

 


Essential Functions:

  • Coordinate the organization, staffing and operational activities for the campus bookstore including sales, purchasing, pricing, receiving/distribution, inventory control, stocking of materials, staffing and personnel management, information systems, financial management and public relations activities.
  • Prepare daily cash analysis for bookstore sales and accounts receivable transactions; post accounts to the accounts receivable file; post PELL Grant charges, and other authorized third party charges to individual accounts.
  • Process request for textbooks upon receipt from department deans and program coordinators; notify department deans and/or program coordinators as to order and receipt of textbooks.
  • Maintain contact with publishers, distributors and other sources of supply; cancel textbook orders upon request; receive ordered merchandise and verify completeness of order; request permission from vendors to return items when necessary and follow through with return procedure.
  • Direct and coordinate a used book program; prepare and review a student buy back list from the current bookstore inventory; recommend disposal of items which are no longer needed and cannot be returned to vendor.
  • Select, train, motivate and evaluate bookstore personnel; provide or coordinate staff training; work with employees to correct deficiencies; implement discipline and termination procedures.
  • Set and continually monitor pricing policies and strategies on all merchandise for resale; determine types of inventory with approval; provide ordering information for class rings and other items as needed for special activities.
  • Provide staff assistance to the Vice-President, Finance and Administration; participate on a variety of committees; prepare and present staff reports and other correspondence as appropriate and necessary.
  • Process, order, receive, check in and arrange textbooks and incoming inventory goods; maintain current inventory by preparing appropriate forms for the return of incoming inventory; take physical inventory of all items.
  • Create and maintain a variety of records, reports and files.
  • Serve as sales clerk and operate cash register; check-out daily cash receipts and prepare daily business reports for the business office; open and close bookstore daily.
  • Assume responsibility for processing faculty order forms, typing purchase orders and requisitions for all bookstore items.
  • Coordinate campus bookstore activities with those of other divisions and outside agencies and organizations.
  • Attend and participate in professional group meetings; stay abreast of new trends and innovations in the field of sales and business management.
  • Participates in professional development activities and required employee training.

Marginal Functions:

1. Perform other duties as assigned.

Qualifications and Working Conditions

 

Knowledge of:

Operational characteristics, services and activities of a community college bookstore.

Modern and complex principles and practices of purchasing and sales.

Principles of budget preparation and control.

Principles of supervision, training and performance evaluation.

Pertinent federal, state and local laws, codes and regulations.

Basic principles of mathematics and accounting.

Principles and practices of inventory control.

English usage, spelling, grammar and punctuation.

Customer relations techniques and methods.

Procedures and practices involved with handling money, issuing receipts and balancing a cash drawer.

 


Ability to:

Select, supervise, train and evaluate staff.

Interpret and explain campus-wide policies and procedures.

Prepare clear and concise reports.

Operate in a multiple task environment.

Communicate clearly and concisely, both orally and in writing.

Establish and maintain effective working relationships with those contacted in the course of work including a variety of college officials, community groups and the general public.

Respond tactfully and courteously with the public in answering student inquiries and referring complaints.

Environmental Conditions:

The employee should have the ability to effectively handle a work environment and conditions which involve an office workspace, working closely with others, and periodically working irregular hours.

The employee must maintain the office environments by maintaining equipment and supplies, ensuring overall cleanliness, functionality, and conformance to OSHA standards to provide a safe work environment.

Physical Conditions:

The employee is required to maintain effective audio-visual discrimination and perception needed for making observations, reading and writing, operating assigned equipment, communicating with others, and handling varied tasks simultaneously.

Additionally, the employee must maintain mental capacity, which permits making sound decisions and using good judgment, demonstrating intellectual capabilities, and evaluating the effectiveness of programs and personnel.

Scheduling Conditions:

This is a full-time, 12-month position, which requires the employee to be on campus or at an approved alternate location for at least thirty-six hours per week, Monday through Thursday, 8:00am-5:00pm, and Friday, 8:00am-12:00pm. This position generally works daytime hours, but has the potential for occasional evening or weekend hours.

Traveling Conditions:

Local travel between the Caldwell campus, Watauga campus, or any off-campus sites may be needed. Out of state travel is limited, but may be required for training and conferences.


 

Experience and Training

Experience:
Three years of increasingly responsible retail operations experience required.

Training:
Associate's degree in Business Administration or related field required.
