Posting Summary
Rutgers, The State University of New Jersey, is seeking a Business Assistant I for Mason Gross School of the Arts (MGSA). Reporting to the Business Analyst III Supervisor in Mason Gross School of the Arts (MGSA), this position provides support in the areas of budget, accounting, planning, and operational activities.
Among the key duties of this position are the following:
  • Tracks and reconciles MGSA budgets and expenditures, ensuring compliance with MGSA and University policies, processes, and procedures.
  • Assists with analyzing revenues and expenditures, developing budget proposals and projections, and executing closing processes. Duties include, but are not limited to, reconciling, budgeting, database management, and accounting.
  • Processes a variety of business transactions, including, but not limited to, journal entries, project cost adjustments, corrections, and requisitions.
  • Prepares and analyzes data and reports.
  • Serves as liaison for University’s accounting, budgeting, and purchases areas in resolving issues and general matters.
  • Ensures efficient and effective policy dissemination, application, and compliance.
  • Performs professional work requiring an excellent knowledge of GAAP as well as a good understanding and application of concepts, theories, and practices of accounting; as well as specific knowledge of MGSA and University policies, procedures, processes, and systems.
  • Carries out routine and semi-routine work within work parameters for the unit and under general supervision.

Qualifications


Minimum Education and Experience
  • Bachelor’s degree in accounting, finance, business administration, or related field; or an equivalent combination of education and/or experience demonstrating knowledge and understanding of generally accepted accounting principles and practices.
  • Two years’ relevant experience.

  • Requires excellent oral and written communication skills, the ability to handle and prioritize multiple tasks, and to interact successfully with a wide range of individuals at all levels of the University community.
  • Must be able to work in a team environment under general supervision, within established work parameters, with few direct instructions.
  • Must be able to maintain a professional demeanor in a fast-paced, customer-service-focused, confidential environment.
  • Must be able to handle and prioritize multiple tasks and to interact successfully with a wide range of individuals at all levels of the University community.
  • Must be able to maintain professional demeanor in fast-paced, customer service-focused, confidential environment consistent with an understanding of the mission, vision, role, and goals of the Dean’s Office, MGSA, and RU, and the role the tasks and responsibilities of the position play in the achievement of these goals.
Preferred Qualifications
  • Previous experience in a customer service organization preferred.
  • Knowledge of Rutgers financial, systems and policies preferred.
  • Advance knowledge of Microsoft Excel.
Equipment Utilized
  • Position regularly uses MS Office Suite, RU Marketplace, HCM, Oracle, Sakai, Canvas, ROCS, Tableau and knows or will learn any and all systems RU uses for accounting; budgeting; data management; expense reimbursement; personnel appointments; payroll; cash handling; procurement; pcards; grants in pre and post awards, facilities and space scheduling, maintenance, and management; and the equipment, software, and specialized materials needed to support the effective and efficient performance of this position.
