Posting Summary
Rutgers, The State University of New Jersey is seeking a Principal Management Assistant in the Office for Interprofessional Programs within Rutgers Biomedical and Health Sciences.
The Principal Management Assistant provides advanced, diversified, and confidential administrative and management support to the Vice Chancellor for Interprofessional Programs. Exercises considerable discretion and independent judgment in handling day-to-day matters in the Office of the Vice Chancellor. Provides support to the Vice Chancellor in activities that relate to interprofessional education and practice, community health and foundation grants management.
Among the key duties of this position are the following:
  • Maintains and organizes the Vice Chancellor’s calendar, including meetings, conferences and travel arrangements.
  • Plans and organizes logistics for appointments to optimize efficient use of the Vice Chancellor’s time.
  • Prepares meeting materials for the Vice Chancellor (and meeting participants as necessary).
  • Submits requests and maintains files for purchase orders regarding reimbursement for the Vice Chancellor’s travel, mileage, and meeting items.
  • Screens incoming correspondence and phone messages to ensure that the all matters receive timely attention by the Vice Chancellor as appropriate.
  • Ensures completion of paperwork pertaining to membership, licensure, and certification and privileging for the Vice Chancellor.
  • Transcribes dictation and/or prepares correspondence for signature by the Vice Chancellor.
  • Proofreads and edits as needed all written documents prepared by the Vice Chancellor when requested.
  • Oversees the development and maintenance of the department’s record-keeping, filing and retrieval systems and determines proper filing classification of all documents on a regular basis.

Qualifications


Minimum Education and Experience
  • Bachelor’s Degree in Business or Public Administration or a related field; plus three (3) years of progressively more responsible related professional and/or administrative experience in either the public or private sector.
  • Equivalent experience, education and/or training may be substituted for the education requirements.
Certifications/Licenses
Required Knowledge, Skills, and Abilities
  • Excellent oral and written communication skills.
  • Must be computer literate with proficiency and knowledge of reporting and database tools such as MS Word, Excel and PowerPoint.
  • Must possess a high degree of initiative and self-motivation.
  • Ability to exercise exceptional discretion, confidentiality, and judgment dealing with sensitive issue.
  • Ability to work as a team member and with all levels within the organization.
  • Ability to work with a wide variety of individuals from students, to local community leaders, to faculty and academic leaders, to local and state political leaders.
  • Experience working with senior level executive(s).
