Position Summary

The Smalley-Curl Institute (SCI) pursues the vision of Rice University's Nobel laureates Rick Smalley and Bob Curl to expand research and education in nanoscale and quantum science and technology. The institute pursues this vision through a number of programs for faculty and students across the schools of Natural Science and Engineering, including workshops, meetings, postdoctoral scholarships and international scientific exchange. This work includes events - in-person and virtual - as well as a variety of outreach efforts via our websites, social media and email.

Reporting to the Administrative Director, the Events and Media Specialist will plan and execute events and communication activities, enabling the institute to meet the objectives of its various programs and stakeholders.

The ideal candidate has excellent time management and communication skills, is detail- and service-oriented, and is in search of a meaningful opportunity to grow the internal community and external visibility of a multifaceted organization through events planning and digital communications.

This benefits-eligible position offers a flexible work schedule (minimum of 4 days in the office per week).

Requirements Qualifications

  • Bachelor's Degree
    • In lieu of the education requirement, additional related experience, above and beyond what is required, on an equivalent year-for-year basis may be substituted
  • Skills Required
    • Ability to manage complex timelines and multiple concurrent projects
    • Ability to work both independently and as part of a team
    • Advanced communication and customer service skills
    • Must be well-organized, creative, and detail-oriented
    • Ability to cultivate partnerships with external and internal stakeholders and collaborators
    • Demonstrated high level of confidence in making decisions, good judgment, and innovative and creative problem-solving skills
    • Advanced knowledge of Microsoft Office suite and other online documents
    • Ability to convert the event needs of SCI steering committee and members into concrete event plans, including venue selection, catering, event collateral, registration/RSVPs, speaker scheduling, etc.
    • Ability to communicate with team members and constituents via a variety of platforms, including email, text, and chat applications such as Slack.
    • Experience in events planning and management
    • Ability to work under the pressure of deadlines and event proceedings
    • Experience with website editing using a content management system (CMS)
    • Experience with social media/digital platforms and digital media creation

Essential Functions

  • Meets with faculty, staff, and student stakeholders to plan the scope and format of events, establishes and monitors budgets, and reviews administrative procedures and event progress
  • Serves as project leader on events, coordinating teams that plan, implement, and manage all aspects of events
  • Takes responsibility for budget planning and management, venue management, and equipment and facilities management
  • Builds and maintains relationships with internal and external partners
  • Researches and provides recommendations for potential event locations, and evaluates alternatives
  • Edits and maintains the websites and mailing lists of the institute and its programs
  • Creates and curates content for website and social media sites
  • Designs, develops, and shares digital communication materials with faculty, staff, and students
  • Performs all other duties as assigned

Additional Functions

  • Negotiates vendor contracts, when needed, to minimize liability and risks
  • Procures and coordinates vendor services
  • Coordinates purchasing and accounting operations relating to events, including expense reports
  • Participates in the development of the digital communication and brand strategy for the institute and its programs
  • Recommends integrated communications plans to meet the institute's objectives

Preferences

  • Experience with Adobe Photoshop, InDesign, or other publishing software
  • Aptitude to learning new systems and applications
  • Self-starter who takes initiative, has a 'can do' attitude, is resilient, and is adaptable to change
