Posting Summary
Rutgers, The State University of New Jersey, is seeking a Program Support Coordinator for NJMS- Office of Education. The Program Support Coordinator position provides high level administrative support and assistance to the Program Administrator and Associate Dean with the development and monitoring of the curriculum goals, objectives, and competencies. The Program Support Coordinator is responsible for administrative planning, organizational reviews, and in the introduction of new techniques and methods to improve the administrative practices related to the community-based preceptorship program.
Among the key duties of this position are the following:
  • Responsible for logistics, including scheduling, room assignments, student notifications, posting of documents such as syllabi, lectures, and podcasts into the Learning Management System (Canvas), for the Year 1 Healing, Humanism, and Health Equity (HHH) Course.
  • Responsible for all aspects of the implementation and monitoring of the Community Preceptorship Program including developing, updating and maintaining web-based course management program. Serves as a liaison between the Office of Education and physicians in the Community Preceptorship Program.
  • Recruits new physicians and maintains an active role in existing preceptorships in the required courses and clerkships.
  • Works with the primary care departments and Faculty Affairs at NJMS to ensure that all physicians in the program obtain and maintain their faculty appointments. Will also be responsible for transmitting course and clerkship specific goals.
  • Administrative support to Associate Dean of Education and Assistant Dean of Pre-clerkship Education for scheduling, calendar, organizing Dean’s letters and minutes for relevant meetings.
  • Under the guidance of the Associate Dean and Assistant Dean for pre-clerkship education, assesses and coordinates faculty development activities to serve the needs of the voluntary clinical faculty in improving teaching and evaluations of the NJMS medical students.
  • Develops timelines to monitor workflow; maintains accurate records of follow-up procedures and activities for all ongoing administrative functions.
  • Prepares official correspondence, responds to inquiries as directed and distributes informational materials.

Minimum Education and Experience
  • Bachelor’s degree required.
  • Minimum three or more years of experience performing related tasks in a college environment.

  • Comprehensive knowledge of state and federal laws affecting students, institutional record requirements, and knowledge of accreditation standards required.
