Overview
The Division of Institutional Planning & Operations (IP&O) employs a workforce of approximately 2,700 staff, represented by 15 collective negotiations agreements, and is responsible for institutional strategic initiatives and operations, which encompasses an expansive range of comprehensive service and business operations across the State of New Jersey. These include planning and construction, facilities, public safety and emergency operations, environmental health and safety, transportation, housing, and auxiliary/retail operations.
Posting Summary
Rutgers, The State University of New Jersey, is seeking a Program Coordinator I for the Division of Institutional Planning & Operations (IP&O). Under the direction of the Senior Program Administrator, this position will work within the newly established IP&O System Control and Support unit. The IP&O System Control and Support is a centralized office that is the primary recipient via the IP&O Service Center of IP&O staff questions, inquiries, and issues related to the integrated work management system end-user experience. Through the receipt of cases from the IP&O Service Center, this office will promptly resolve all associated matters arising from the use of integrated work management systems.
Among the key duties of this position are the following:
  • Works under broad guidance of the Senior Program Administrator, IP&O System Control and Support to ensure resolution of end‐user needs, and any other unresolved customer service issues, ensuring that all are handled in a professional and organized manner.
  • Manage day‐to‐day tasks to keep the integrated work management systems running smoothly and will be entrusted to provide database maintenance of the same.
  • Requires close alignment with end users to evaluate problems, provide clarification and identify process improvement opportunities to maintain and/or upgrade end‐user service and experience.
  • Provides feedback and helps to prepare regular reports regarding integrated work management systems end‐user satisfaction.

Qualifications


Minimum Education and Experience
  • Bachelor’s degree or an equivalent combination of education and experience that demonstrates a thorough knowledge and understanding of the University structure and organization, as well as the operations and customer service needs of the university.
  • A minimum of two years’ experience in a workplace system end‐user support.
Certifications/Licenses
  • Valid driver’s license would be required for this position.

Required Knowledge, Skills, and Abilities
  • Strong written and oral communication skills and proven ability to develop and communicate end‐user needs.
Preferred Qualifications
  • Proficiency in an Integrated Work Management System.
  • Travel to and from the Camden, Newark, and New Brunswick campus might be required.
  • Excellent organizational, communication, and interpersonal skills demonstrated by previous professional success.
  • Basic SQL knowledge of functions and operators.

Immunization Requirements
