Biophysics Program Coordinator and Administrative Assistant

Job Description


The Lewis-Sigler Institute for Integrative Genomics seeks a Biophysics Program Coordinator and Administrative Assistant to provide high-level administrative support for the Biophysics graduate program and related activities as well as administrative support for Biophysics Director of Graduate Studies and other Biophysics faculty within the LSI.  While BPY is a new graduate program, it is rapidly growing, and specific tasks will change over time. This position will work closely with the QCB Program Administrator and share responsibility with administering joint QCB-BPY program activities and events.



• Primary responsibilities include but are not limited to:
• Serving as the point-of-contact for all Biophysics administrative matters.
• Coordinating BPY seminars, colloquium, and retreat.
• Coordinating and managing BPY workshops and conferences;
• Coordinating the BPY summer program events and activities.
• Coordinating and managing all administrative processes for Biophysics-related postdoctoral searches, including travel, scheduling, advertising, etc;
• Managing all graduate student academic programming and curricular milestones, including General Exam scheduling and reporting, teaching assistance requirements, FPO paperwork submissions and post FPO paperwork.
• Managing the annual student re-enrollment process.
• Overseeing the critical graduate admission process, which includes the preparation and dissemination of applicants’ data to the DGS, and faculty, and participates in various committee meetings. This also includes scheduling interviews via Zoom with members of the admissions committee.
• Managing Visit Day for prospective/accepted students, as well as alternate individual visits for some. Visit Days includes coordination of meetings and meals with faculty and graduate students, poster session presentations by graduate students, lab and housing tours, social activities and providing travel reimbursements to attendees.
• Coordinating student events: New Student Welcome Reception and Orientation Program, colloquiums, and other events as they develop.
• Managing labor accounting distribution for graduate students on academic year and summer funding. Work with faculty and grants managers to update charges and meet monthly payroll deadlines.
• Managing departmental graduate student teaching budget, coordinate Assistant in Instruction (AI) assignments and teaching schedules. Provide AI budget, revised forecast and variance analyses to the Dean of Faculty Office.
• Managing any BPY courses, teaching assistants, and appropriate deadlines for each.
• Facilitating advisor matching process.
• Maintaining the graduate program website and updates of the Graduate Student Handbook.
• Managing external internship opportunities and applications.
• Managing administrative support, travel, and scheduling for 2-4 Biophysics faculty.
• Maintaining faculty group and center webpages.
• Arranging travel for faculty and visitors; coordinate visits.
• Assisting in electronic application of faculty grant proposals.
• Assisting with faculty research publications.
• Providing support for faculty with teaching duties as requested.
• Processing travel reports through Concur for faculty, research staff and visitors;
• Special projects as needed for BPY, QCB, and LSI, including organizing or assisting with departmental events, recruiting, etc.



Essential qualifications:
• Bachelor’s degree;
• 5-10 years of relevant experience
• Excellent interpersonal and communication skills (both written and oral) required;
• Exceptional organizational skills;
• Ability to work independently, to manage multiple priorities simultaneously;
• Collaborate constructively with staff across campus;
• Exercise discretion in obtaining and providing factual and confidential information;
• Strong skills in word processing, document scanning, web page management, and the MS Office Suite.
• Experience working with faculty in a higher education environment.
• Experience with Princeton University systems and software including Concur, PeopleSoft, Prime, ERA, Labor Accounting, Information Warehouse, and Canvas
• Princeton University policies and procedures

 

Preferred qualifications:
• Experience in administrative coordination of a scientific research and training program
