Purpose

The Faculty Affairs Manager will administer AADS faculty HR processes with the College of Liberal Arts and Office of the Provost. This includes administration of searches for new faculty, filing and following up on required processes for leaves, and department governance in faculty committees and service roles.


Responsibilities

  • Compensation – Calculate merit allocations for AADS faculty members based on the Chair’s preferences and on Faculty Merit Recommendations approved by the Executive Committee. Coordinate with Department Manager to report approved faculty merit recommendations to the College. Coordinate with College of Liberal Arts staff to process AADS faculty members’ teaching summer assignments and non-teaching summer assignments.

  • Curricular management – With guidance from the Chair and Associate Chair(s), take the lead in departmental course planning, making TA and hourly grader allocations to AADS courses, and planning for and hiring non-tenure-track faculty to fill anticipated curricular gaps. Coordinate with Graphic Designer and AADS’s course scheduler to create and circulate online course flyers prior to the registration period of each semester’s courses. Serve as backup for AADS’s Graduate Program Administrator in downloading, organizing on Box, and maintaining physical and digital CIS archives.

  • Department Chair calendar administration: Coordinate department chair calendar. Contact meeting attendees to arrange meetings as needed. Add department events to calendar. Collaborate with Department Chair to ensure accuracy and attention to detail.

  • Governance – Coordinate meeting schedules, meeting spaces, the drafting of meeting agendas, and related faculty communications. Coordinate with Operations Specialist to set up for and rearrange meeting rooms before and after faculty and EC meetings. Take meeting minutes; subsequently circulate them to faculty members. Partner with Chair to make faculty committee assignments. Communicate policies, deadlines, and opportunities to faculty in a timely manner. Update and maintain faculty handbook as needed.

  • Hiring – Provide structure, timelines, and coordination for faculty and postdoctoral fellow recruitment and hiring processes. Coordinate with AADS Executive Committee on assignment of faculty mentors. Process faculty appointments. Coordinate with Operations Specialist to process courtesy appointments in AADS.

  • Leaves and records –Coordinate with faculty external award recipients, with faculty otherwise accepting temporary appointments external to UT, with Dean’s Office staff, with the College’s Research Support Office, and with Financial Manager as needed to conduct processes associated with faculty leaves. Maintain faculty records, including courses taught, leaves taken, course releases granted, and medical leaves and extensions of the probationary period, as well as records of annual committee assignments, historical and upcoming faculty reviews, upcoming and historical faculty summer assignments, etc.

  • Reviews – Conduct and oversee all aspects of the department’s promotion and tenure processes. Coordinate annual peer teaching observation process in AADS, setting deadlines, assigning observation partners, and ensuring that observation letters include all required elements as outlined in the Provost’s promotion and tenure General Guidelines. Consult College timelines with Chair and with Executive Committee to plan, conduct, and/or advise faculty concerning mid-probationary reviews, comprehensive periodic reviews, and the annual review of faculty. Establish and/or communicate annual deadlines for AADS faculty members’ submission of Faculty Activity Reports (FARs) and of entries to the Provost’s Office’s Publication Database.

  • Support – Coordinate with International Student and Scholar Services (ISSS) and Texas Global on processing AADS faculty members’ and academic staff members’ visa petitions and extensions, permanent residency documentation, and other related paperwork. Coordinate with Financial Manager on budgeting for and delivering payment for these expenses. Update faculty email listservs as needed. Field, research answers for, and reply to policy-related, personnel-file-related, and other questions submitted by AADS faculty members and others. Conduct faculty-related research as requested by the Chair.


Required Qualifications

Bachelor's degree in business/management or a related field. A combination of five years’ experience in increasingly more complex administration, organization, and project management within a large organization.  High standards, professional demeanor and communication skills, and the ability to compose accurate and timely correspondence. Ability to work independently and as part of a team to organize, prioritize, and report on multiple projects. Must be able to set and meet deadlines as well as work regular hours and arrive to work punctually. Intrinsically motivated with a systematic and extremely prepared and organized work style. Experience and discretion in dealing with confidential and sensitive information. Ability and willingness to take on various and new responsibilities.  Willingness to participate in special events in an “all hands on deck” approach with other unit staff.

Relevant education and experience may be substituted as appropriate.


Preferred Qualifications

Master's degree or higher in business/management or a related field. More than the required five years of experience with increasingly complex administration, organization, and project management skills. Experience and familiarity with The University of Texas at Austin policies and procedures, including those for academic faculty. Experience working in an academic environment.  Experience with the field of Black Studies.  Experience working with processes involving department and/or center faculty.


Salary Range

$68,000 + depending on qualifications
