Overview

Reporting to the Senior Program Manager, the Program Coordinator II provides administrative and coordination support for education and training programs core to Dana-Farber’s international collaborations with institutions in South America, China, and the Middle East region. The Program Coordinator II assists in coordinating leadership delegation visits from outside institutions and Dana-Farber faculty and staff trips to partner institutions. The role works closely with all members of the International Strategic Initiatives Department as well as across DFCI departments to support the programmatic needs of a wide range of international initiatives. This role will have the opportunity to take on additional responsibilities and support other international projects as needed.

Responsibilities

  • Lead the coordination of international education and training programs, including clinical observerships, clinical conferences and symposia, clinical shadowing experiences and virtual tumor boards with external institutions
  • Collaborate with multiple departments to provide onboarding/orientation, clinical scheduling, and ongoing onsite support for clinical observers
  • Organize and facilitate international delegation visits, such as scheduling meetings, drafting agendas, preparing meeting materials, and overseeing day-of event logistics
  • Assist in planning leadership and/or clinical staff trips to international partner sites, including working with internal and external stakeholders to develop trip agendas, scheduling pre-trip meetings, and coordinating all travel related logistics
  • Maintain and manage project dashboards to track project status, activities, milestones, and timelines for internal and external reporting
  • Provide administrative support including booking travel, scheduling complex meetings, reserving rooms or venues, ordering food, and arranging for audiovisual equipment for internal and external meetings
  • Perform finance-related administrative procedures for processing faculty honorarium, travel reimbursements, and project and department-related expenses
  • Assist in preparing documents such as correspondence, reports, letters, presentations, discussion minutes, and materials for internal and external meetings
  • Support the planning and execution of other program development activities within each collaboration
  • May perform other duties as needed including special assignments and projects
  • May be required to be on campus up to 5 days per week to welcome international visitors, escort them to meetings, and serve as point-of-contact for international visitors coming to Dana-Farber

Qualifications

  • Bachelor's degree required
  • 3 years’ experience of program coordination required; previous experience using Excel, Smartsheet, or Microsoft Project preferred, experience within a medical or scientific research setting preferred
  • Bilingual in Arabic, Spanish, or Vietnamese preferred

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

  • Proficient knowledge of Microsoft Office Suite; strong Excel and PowerPoint skills preferred
  • Excellent organizational and written and verbal communication skills
  • Excellent interpersonal skills
  • Strong customer service skills and the ability to interact professionally with peers, leadership, and external contacts
  • Ability to multi-task while meeting deadlines with competing priorities
  • Ability to navigate projects through a consensus-driven environment
