Job Description
Position Overview: We are seeking a detail-oriented and organized Nonprofit Administrator to provide essential administrative management to our organization. The ideal candidate will play a critical role in ensuring the smooth day-to-day operations of our organization contributing to its overall efficiency and effectiveness. This position requires excellent organizational skills, strong communication abilities, and a passion for making a positive impact in the communities we serve.
Work Schedule: Typical schedule is Monday through Friday. However, the employee may be required to work on weekends when there is a conference or another event taking place during the weekend.
Travel Required: This position may require travel to our project sites and conference locations including overnight stays. Travels will include weekends and may involve driving as well as air travel.
Transportation: Must have a valid driver’s license and a reliable vehicle with liability insurance coverage.
Responsibilities
Donor Relations Management:
- Cultivate and maintain relationships with current and prospective donors, sponsors, and funding partners.
- Develop personalized strategies to engage donors and align their interests with the organization’s goals.
- Collaborate with the development team to plan and execute fundraising campaigns and initiatives.
Database Management:
- Maintain accurate and up-to-date databases for donors, volunteers, members, and other stakeholders, tracking interactions, engagements, and donation history.
- Generate reports and analyze data to support decision-making and strategic planning.
- Provide regular reports on donor engagement metrics, campaign outcomes, and fundraising progress.
Event Management:
- Supervise and monitor the planning, coordination, and execution of events, conferences, fundraisers, and community outreach activities.
- Manage and supervise event logistics team, including venue bookings, catering, registration, and promotion.
Donor Communication and Outreach:
- Support the organization’s sponsors and donor communication efforts.
- Coordinate the creation and delivery of acknowledgment letters, impact reports, and other recognition materials.
- Assist in maintaining the organization’s website and social media profiles, ensuring information is current and engaging.
- Provide regular reports on donor engagement metrics, campaign outcomes, and fundraising progress.
Financial Administration:
- Collaborate with the finance team to process invoices, donations, and expenses, and assist in maintaining financial records.
- Help prepare financial reports and statements for internal and external stakeholders.
Volunteer Engagement:
- Coordinate volunteer recruitment and engagement, including managing volunteer schedules and communicating with volunteers.
- Assist in maintaining volunteer records, engagements, and ongoing communications.
Human Resource Management:
- Collaborate with senior leadership to identify and address HR needs, opportunities, and challenges.
- Lead the recruitment process, including job posting, candidate sourcing, interviewing, and selection.
- Collaborate with team leaders to ensure effective onboarding and orientation of new hires.
- Oversee the administration of employee benefits, including health insurance, retirement plans, and leave policies.
- Ensure adequate staffing and team support for CME conferences by creating the staffing plan and scheduling team members for conferences in advance.
Qualifications:
- Bachelor’s degree in nonprofit management, business administration, or a related field.
- Six years of experience in administrative roles, preferably within the nonprofit sector.
- Excellent communication and interpersonal skills, with the ability to work effectively with diverse teams and individuals.
- Strong problem-solving and decision-making abilities, with a proactive and solutions-oriented mindset.
- Proficiency in office software and tools, including Microsoft Office Suite and database management systems.
- Excellent organizational skills and the ability to manage multiple tasks and priorities.
- Strong written and verbal communication skills, with attention to detail and accuracy.
- Knowledge of nonprofit operations and best practices.
- Ability to work independently and collaboratively within a team.
- Empathy and dedication to the mission of the organization.
Location – This position is based in Bellevue, WA.
Job Type: Full-time
Pay: $65,000.00 - $75,000.00 per year
