JOB DESCRIPTION
Finance and Adminstrative Coordinator

Purpose Statement

The purpose of the Finance and Administrative Coordinator is to be the face of WSRMP in the main lobby and the voice of WSRMP on the main phone line. This position provides both strong external and internal customer support including specific assignment to the Finance department for supervision and targeted support.

This job reports to the Senior Accounting & Administrative Consultant or Director of Finance & Administration.

Essential Functions

  • Administers phone and fax communications from external and internal sources for the purpose of providing services efficiently, timely and in a professional and courteous manner.
  • Coordinates a variety of organization activities; for example, maintain office equipment (other than computers), adequately stock and organize office supplies, watering plants, and running the front desk.
  • Assists with scheduling and coordinating a variety of all staff activities, events and meetings.
  • Performs record keeping and clerical functions to include postage, processing incoming and outgoing mail and logging of incoming checks.
  • Responds to staff inquiries for the purpose of providing information and direction related to purchasing and travel policies and procedures.
  • Responds to written and verbal inquiries from a variety of internal and external sources, providing information, facilitating communication among parties, and providing direction.
  • Coordinates and prepares accounting activities as assigned for the purpose of data and document collection, review, and reconciliation.
  • Coordinate and make approved travel arrangements for staff and confirm receipt of required travel related supporting documents consistent with the organization’s policies and procedures.
  • Coordinate the collection of procurement card receipts and confirm required supporting documents are attached.
  • Coordinate the collection of accurate and approved vehicle logs from staff and maintain the vehicle use spreadsheet.
  • Collect, review and calculate employee expense reimbursements and confirm required supporting documents are attached.
  • Prepare, distribute and collect timely and accurate void check request documents and affidavits.
  • Document and maintain accurate and detailed job-related procedures in Atlassian Confluence.
  • Supports Finance staff for the purpose of providing assistance with administrative functions.
  • Participates in meetings, workshops, trainings, and seminars for the purpose of conveying and gathering information required to perform job functions.
  • Prepares and maintains a variety of manual and electronic documents, files, and records for the purpose of providing up-to-date reference, audit trail and compliance with the organization’s policies and procedures, local, state and federal regulations.
  • Remains knowledgeable of the computerized networking system and technology equipment for the purpose of serving as information systems support to on-site staff.
  • Occasional travel may be required.
  • Utilize a personal vehicle for the purpose of performing the essential functions of the position.

Other Functions

  • Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the department.

Job Requirements: Minimum Qualifications

SKILLS are required to perform multiple tasks with a potential need to upgrade skills in order to meet changing job conditions. Specific skill-based competencies required to satisfactorily perform the functions of the job include: performing accounting procedures; preparing and maintaining accurate records; and operating standard office equipment and using pertinent software applications.

Basic Skills:

  • Ability to use logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions, or approaches to problems.
  • Ability to understand written sentences and paragraphs in work-related documents.

Computer Skills:

  • Proficiency in the use of Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
  • Ability to create and present PowerPoint presentations.
  • Ability to manipulate and analyze data in Excel or similar spreadsheet or database software.
  • Familiarity with cloud-based collaboration and storage tools such as OneDrive, SharePoint and Confluence.
  • Experience with videoconferencing software such as Zoom and Microsoft Teams.
  • Basic understanding of computer security and ability to follow company security protocols.

KNOWLEDGE is required to perform basic math, including calculations using fractions, percentages, and ratios; understand written procedures, write routine documents, and speak clearly; and understand multi-step written and oral instructions.

ABILITY is required to schedule activities and meetings; gather, collate, and classify data; and utilize a variety of job-related equipment. Flexibility is required to work with others; work with data utilizing defined and similar processes; and operate equipment using standardized methods. Ability is also required to work with a diversity of individuals and work with similar types of data. Some problem solving may be required to identify issues and select action plans. Responsibility

Responsibilities include: working under direct supervision using standardized procedures; providing information and advising others. Utilization of some resources from departments may be required to perform the job's functions. There is a continual opportunity to have some impact on the organization’s services.

Work Environment

The usual and customary methods of performing the job's functions require the following physical demands: some lifting, carrying, pushing, pulling, and significant fine finger dexterity. Generally, the job requires 80% sitting, 10% walking, and 10% standing. This job is performed in a generally clean and healthy environment.

Residency: Washington state resident required

Experience: Job related experience is desired.

Education: Community college and/or vocational school degree with study in job-related area.

Equivalency: Job related experience equivalent to community college and/or vocational school degree with study in job-related area.

Valid WA Driver’s License and WSRMP approved driving record.

FLSA Status: Exempt

Job Type: Full-time

Pay: $58,607.00 - $84,879.00 per year
