Job Description


The Communications Associate provides systems, tactical and administrative support for the Communications team and the broader OLE team, which collectively seeks to advance organizational learning, performance and impact to ensure the foundation is achieving our desired outcomes for children and families in the communities we serve. This person will support the development and execution of comprehensive strategies the expand our voice, reach and impact, in alignment with the broader strategies of both the foundation and its 501(c)4 sister organization, the Children’s Equity Fund (CEF).


This role requires the ability to research, organize and integrate information across initiatives through close collaboration with staff; provide project management support to a range of projects and teams; edit, proofread and support the production of a variety of corporate and program-related communications materials; and oversee communications-related systems and technology. The Communications Associate will also ensure that Communications and OLE policies, processes and resources maximize efficiency and effectiveness to ultimately support internal and external stakeholders in advancing our strategy and achieving the Foundation’s desired impact.


The work of both the foundation and the CEF is structured through a portfolio of interconnected initiatives. All staff play a role in connecting and synthesizing knowledge across teams to further both organizations’ Missions and Visions. Therefore, this person may be assigned to any of the Foundation or CEF’s initiatives based on initiative cycles and evolving organizational needs.

ESSENTIAL DUTIES AND RESPONSIBILITIES:


Content

  • Assist in the execution of the content ecosystem strategy, including support for webpage and social media content, website updates and coordination of the ecosystem calendar to ensure that new and consistent information (article links, stories and events) is posted regularly and strategically. Create basic graphics in design software.
  • Maintain overall speaking engagement calendar, editorial/content calendar, and coordinate external support (messaging coach, PPT designer).
  • Support the production and execution of all print and electronic collateral, including the annual report, board reports, brochures, conference materials and other publications as needed.
  • Proofread various communications for the organization, ensuring that communications are accurate, clear and complete; correct in terms of spelling, grammar, punctuation and editorial style; and that they maintain a consistent tone and voice.
  • Pull raw data and share with stakeholders for tracking and analysis on Communications dashboard (e.g., website, social media, speaking engagements, blog, publicity) and update dashboard quarterly.

Project Support

  • Provide program and project support across other facets of the Organizational Learning and Effectiveness (OLE) function as needed, including project management, thought partnership and operational support of initiatives that connect storytelling and communications with learning, evidence and equity (e.g., DEI projects, knowledge management projects, etc.).
  • Execute Foundation website updates, including both format and content, to align with brand identity and strategic direction (to include ongoing maintenance, updates and upkeep of website).
  • Document and visualize content processes to share learnings and best practices with other stakeholders.

Marketing Technology

  • Manage the Foundation’s contact database and all external mass emails. Manage the ongoing maintenance and upkeep of the database.
  • Develop and implement tools, resources and processes to increase operational efficiency and effectiveness of the Communications function.
  • Stay current on industry trends.

Program Support

Provide as needed partner support, including in Communications systems and technology.

  • Schedule regular meetings with program/initiative teams and document notes/next steps.
  • As requested, provide tactical and administrative Communications and OLE support for Foundation and partner events, in collaboration with the Events team.

Administration

  • Help to maintain and refine the Bainum Family Foundation’s brand identity. This includes managing templates and style guide that reinforce the brand and maintaining an online brand asset library (staff bios, staff photos, stock photos, event photos).
  • Schedule/coordinate routine staff photos and developing bios for new hires and promotions.
  • Support stakeholder needs, particularly related to systems, tools and resources, and brand assets (e.g., bios/photos from Foundation staff for speaking engagements, etc.).
  • Support the creation and maintenance of the Communications page/content on SharePoint.
  • Process invoices and expenses.
  • Process contracts and invoices for Communications and OLE.
  • Participate in annual budget planning and ensures responsible stewardship of foundation resources.
  • Participate in the development and execution of annual objectives and key results (OKR’s).
  • Oversee communication and OLE mailings (e.g., annual report).

  • Perform other duties as assigned

 

Qualifications


FUNCTIONAL/TECHNICAL REQUIREMENTS:

  • Bachelor's degree in communications, Journalism or Public Relations strongly preferred. Degrees in related fields and/or commensurate experience will be considered.
  • Two to three years of communications experience (can be corporate, agency, government or nonprofit) preferred.
  • Solid oral and written communications skills.
  • Digital media knowledge and related technology skills.
  • Strong project management skills; detail oriented.
  • Highly collaborative with excellent interpersonal skills and the ability to work with internal and external constituents.
  • Excellent problem-solving, organizational and time-management skills.
  • Ability to exercise independent judgment and discretion.
  • Must be able to read, write and speak the English language at a college level, perform mathematical calculations required for the position and learn to interpret and comprehend company policies and procedures.
  • Ability to convey necessary information accurately, listen effectively, and ask questions when clarification is needed.
  • Can effectively cope with change and work independently.
  • Proficient collaborative, interpersonal, written and verbal communication skills.
  • Ability to complete projects accurately and within deadlines.
  • Readily learns and adopts new technologies that are critical to evolving business needs; is open to building new technical skills, knowledge or capabilities that can benefit business and/or personal performance.

WORK ENVIRONMENT: This position will be performed in a hybrid workplace with a mix of in-office and remote work. The in-office work environment is typical of an office setting. The noise level is usually quiet. Remote work requires logging onto your computer at home during work hours, responding to emails, and participating in video calls and meetings throughout the day; therefore, access to high-speed, reliable internet is crucial. The Foundation provides all required equipment and supplies to undertake the tasks of the job at home, including laptop, monitors, and other accessories, which are shipped to the employee’s home.
