Posting Summary
Program Assistant, Career and Professional Development Programs position is responsible for assisting with the initiatives of the department, including administrative support for all training and education needs. Additionally, this role assists with the engagement program and workplace climate topics.
Essential duties and responsibilities include the following:
1. Handles all administrative processes and tasks related to staff training and educational programs, courses, and learning materials.
  • Utilizes procurement system to make appropriate purchases and communicates with vendors.
  • Distributes emails and flyers on behalf of the department to necessary distribution lists and recipients.
  • Routinely reviews and updates department tracking logs and database.
  • Creates and organizes meeting minutes, agendas, and other supplemental materials.

2. Provides administrative support for the faculty mentorship program and additional faculty training opportunities.
3. Coordinates details for onsite and virtual engagement program, including wellness program, satisfaction committee, and spirit days. Attends events and organizes logistics and purchasing needs.
4. Edits monthly newsletter, offers feedback pertaining to engagement programs.
5. Maintains and distributes vouchers and registration information for training programs.
6. Assists with annual climate survey, organizes spreadsheets and manipulates data.
7. Builds strong relationships and partners with all internal (CINJ & Rutgers) and external departments that will contribute to the knowledge base requirements for optimal training activities. Internal departments include, but are not limited to:
  • CINJ Department of Finance
  • CINJ Office of Research Administration
  • CINJ Office of Human Research Services
  • CINJ Information Systems & Technology
  • CINJ Workforce Planning & Performance

Qualifications


Minimum Education and Experience
  • Bachelor’s Degree in a related field plus two (2) years of administrative experience, preferably in an academic or healthcare setting.
  • Must be computer literate with intermediate proficiency in Microsoft Office applications and intermediate proficiency in Adobe Acrobat.
  • Equivalent experience, education, and/or training may be substituted for the education requirements.

  • Must possess a clear interest for innovative educational initiatives and ability to engage others in those topics.
  • Demonstrate ability to build relationships and trust, a reputation for high integrity and strong and effective interpersonal relationship skills.

  • Ability to set priorities, manage multiple projects simultaneously with good follow through is essential.
  • Outstanding interpersonal communication and leadership skills, creativity, and the ability to function in a team environment required.
