Our mission is to provide affordable, high quality, early educational child care in a stable and nurturing environment, thereby offering the children of working families a sound foundation for lifelong development, continuing a tradition established by the Sisters of the Holy Family.

 

Scope of Work:

The Admissions Assistant reports to the Executive Director. The Admission Assistant heps with the maximum enrollment in the program, which consists of 178 childcare slots for children ages 3 months through 6 years old. They represent the face of HFDH by acting as the first point of contact for all interested and prospective families. Professional ethics of confidentiality, discretion and good judgment are vital for this position.

 

Minimum Qualifications:

· Language Required: English proficiency and Bilingual in Spanish; must be able speak, read, and write.

· B.A. degree or A.A. degree and minimum 2 years’ experience in an administrative office support role.

· Strong Proficiency of Word, Power Point and Excel and familiarized with database programs and computer applications

· Ability to relate positively and effectively with families of varied academic, socio-economic and cultural background using courteousness with a professional manner

· Ability to work effectively in a team

· Exceptional interpersonal, communication and writing skills.

· Knowledge of office management, techniques, and organization skills

· Exercise good judgement and discretion in analyzing and problem solving

· Highly organized and ability to multitask and perform assigned work with accuracy.

· Ability to manage time and work effectively.

· Knowledge of appropriate referrals for families seeking outside resources.

· Knowledge of basic accounting principles and practices.

· Fingerprints clearance through Department of Justice for Child Abuse Index Check and Criminal Record Statement

Roles and Responsibilities:

Intake:

· Support the A.C. in maintaining the maximum program enrollment. Anticipate vacancies in enrollment and expedite the enrollment process for upcoming applicants on the waiting list.

· Manages HFDH Admissions Department phone line by answering phone calls and screening for program eligibility and need

· Timely Responds to all voice messages left on the HFDH Admissions/ Enrollment Department phone line daily

· Maintain the agency waitlist and perform a yearly waitlist clean-up.

· Communicate with prospective families and advises on enrollment steps.

· Prepare family files, label, and crosscheck if any documents are missing or need correction

· Become familiar and knowledgeable of the various child care contracts awarded to the agency.

· Generate enrollment demographics report as needed.

· Provide information and referral support to parents as requested.

· Prepare and submit monthly Attendance Timesheets to Children’s Council.

· Complete necessary correspondence/reports.

· Complete all other duties as assigned.

· Review family’s attendance (Front desk attendance binder and MOCHA) on a weekly basis and prepares monthly attendance report.

· Support with coverage at the Front Desk (Reception Area) as assigned.

Communication:

· Work cooperatively with parents, staff and third party consultants to meet the individual needs of children and their families

· Maintain positive communication regarding Holy Family Day Home to parents, other staff members, and the surrounding community.

· Maintain family and agency confidentiality in accordance with HFDH policies.

Program Administration:

· Report all injuries and other health concerns to the administration, and administer pediatric first-aid when necessary, and as mandated by state law, report any suspected child abuse.

· Assist Site Supervisor and administration in all matters pertaining to the effective and efficient running of the childcare facility.
