Posting Summary
Rutgers School of Dental Medicine (RSDM) is seeking a Program Administrator for their faculty practice office located in Newark, NJ.  The Program Adminstrator will manage the day-to-day administration of the practice and will supervise clinical and administrative staff.  The administrator will also provide a high level of confidential adminstrative support and serves a key role in promoting the effective and efficient operation within the office, including all activities associated with use of electronic health records, billing and collections, pre-authorizations, and patient scheduling.  
Essential duties and responsibilities:
  • Identifies staffing needs; recruits competent staff using Rutgers University’s Recruiting Onboarding & Classification System (ROCS); trains and/or cross-trains staff.
  • Develops and implements quality control for staff work assignments and patient records.
  • Reviews daily provider schedule, proper distribution of patients, and ensures efficiencies and provider productivity.
  • Maintains and produces proper records and reports as required by the practice.
  • Ensures providers are credentialed prior to being scheduled to practice and ensures credentialing remains current.
  • Manages all purchases and approves change orders ensuring all expenditures are within operating budget.
  • Provides financial counseling to patients as required and sets up payment plans as needed.
  • Resolves personnel conflicts and implements systems that foster teamwork and good morale.
  • Understands and adheres to Rutgers compliance standards as they appear in RBHS’s Corporate Compliance Policy, Code of Conduct and Conflict of Interest Policy.
  • Ensures that the staff are trained and evaluated on their knowledge of and adherence to compliance policies and procedures specific to their jobs.
  • Keeps abreast of all pertinent federal, state and Rutgers regulations, laws and policies as they presently exist and as they change or are modified.

Qualifications


Minimum Education and Experience
  • Bachelor’s Degree in Business Administration or a related field plus at least four (4) years of administrative experience in a group practice dental or medical office. 
  • Equivalent experience, education and/or training may be substituted for the degree requirement.

Preferred Qualifications
  • Experience with electronic health records systems.
  • Bilingual skills preferred (ability to read, write and speak Spanish), but not necessary.
