The UC San Diego Department of History offers excellent undergraduate and graduate programs in a number of geographic and thematic areas. Teaching and research fields include the history of the United States, Europe, Africa, East Asia, Latin America, the Middle East, the History of Science, Ancient History, and Jewish Studies, both ancient and modern. Across these geographic boundaries also offered are teaching and research strengths in thematic areas, such as the history of gender, sexuality, nationalism, race, and ethnicity, among others. The department is comprised of 40 ladder-rank faculty, 350 undergraduate majors, 90 graduate students, and 9 career staff.

Under general supervision of the Chief Administrative Officer of History, the Fiscal and AP/HR Coordinator performs a broad range of fiscal administration and academic personnel/human resources coordination. Uses professional concepts to apply organization policies and procedures to oversee a variety of ongoing administrative operational issues. Administers defined operational program. Analyzes and resolves operational problems of moderate scope. Serves as primary contact with faculty and graduate students in reimbursement and purchasing transactions, procurement card coordination, and general fiscal activities. Uses appropriate University applications to initiate and reconcile these transactions.

Working in a collaborative team environment, the Fiscal and AP/HR Coordinator performs a wide variety of duties that require confidentiality, discretion, diplomacy and sound judgement. Serves as primary contact and coordinator for Academic Faculty Recruitments including scheduling conferences and meetings and arranging for travel, including accommodations and visas when necessary. Interprets, advises and instructs faculty on academic personnel policies & procedures as pertains to faculty recruits. Serves as primary contact and independently manages Non-Senate temporary appointments, postdoctoral fellows, visiting scholars, and other temporary faculty appointments for the History Department. Ensures compliance with all applicable Academic Personnel policies and procedures, and AFT Union contract requirements and restrictions; completes UC Path entries. Serves as visa coordinator for new and visiting faculty and ensures compliance with INS regulations and restrictions.

  • Occasional evenings and weekends may be required.

  • Hybrid work environment.

  • Experience with processing financial transactions.

  • Experience with Faculty and or Staff recruitment, onboarding and offboarding processes.

  • Working knowledge of common organization-specific and other computer application programs. Ability to use, evaluate and implement financial computer applications. Working knowledge of computers, and various software application programs, including word processing, graphics, tables, spreadsheets for accounting, data base management, and electronic mail in the performance of a variety of functions and tasks.

  • Ability to investigate, analyze and compile AP, HR, financial and budgetary data and to develop, evaluate and implement sound recommendations. Ability to effectively communicate results.

  • Ability to use sound judgment in responding to issues and concerns.

  • Solid communication and interpersonal skills to communicate effectively with all levels of staff verbally and in writing.

  • Ability to use discretion and maintain confidentiality.

  • Ability to view tasks from varying perspectives; ability to integrate day-to-day operational knowledge and recommend effective short and long-term policies and procedures.

  • Ability to establish a strong network of campus contacts to build knowledge about the job and secure support for department needs. Ability to independently determine and locate sources for collecting information and data.

  • Ability to anticipate and analyze Departmental issues, and possess skill to identify and provide recommended solutions based by sound data. Ability to effectively coordinate resources to meet Department needs.

  • Solid organizational skills and ability to multi-task with demanding timeframes. Ability to maintain a high standard of productivity within a broad scope of responsibility despite frequent interruptions. Ability to complete a large volume of diverse tasks efficiently, meeting established deadlines.

  • Job offer is contingent upon satisfactory clearance based on Background Check results.

Pay Transparency Act

Annual Full Pay Range: $63,580 - $98,282 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $30.45 - $47.07

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
