Grant Program Manager

 

 

The grant Program Manager provides administrative oversight to the grant process for large-scale grants. Impacts large scale and/or multiple grant activities for the research departments. Impacts the capability of the department or program to reach its scientific and administrative goals.

Pre-Award Administration

Manages grant administration for the research faculty of the Division of Pathology Lab Medicine
Submits proposals for high volume research Division to include, collection of required documents, budget development and justification, COIs, PI guidance from start to finish of application and adherence to all sponsor and institutional guidelines.
Develops and reviews all grants for accuracy and compliance in Division before submission to OSP.
Communicates with the Office of Grants and Contracts, Office of Research Administration and NIH regarding grant preparation/submission, including sub-contracts, core grants, etc.
Completes JIT other ad hoc sponsor requests
Communicates with personnel at other institutions (sub-contracts) regarding deadlines, budgets and other requirements for division collaborative grants
Develops and reviews research/grant budgets for accuracy and compliance with institutional and sponsoring agency requirements
Negotiates payment terms with private foundations
Work with legal services to ensure accuracy and compliance.

Post-Award Administration

Reviews grant and contract awards for restrictions and special conditions and relays this to the award recipient
Evaluates the Principal Investigator's research plan, purchases and personnel to determine if compliance has been met, budget is spent according to proposed budget and milestones are submitted and or met.
Meets with new faculty to determine their research needs for both grant support and general funding.
Works with Grants and Contracts Accounting and NIH in assisting in the transfer of existing grants from the former institution
Works closely with divisional senior management analysts regarding research related fiscal matters
Monitors, audits, and advises on the reallocation of funds and transfer of expenses as deemed appropriate according to sponsoring agency deadlines. Provide excel spreadsheets with updated information on periodic reports
Completes progress reports and other requests such as NCEs, waivers, etc

Research Administration

Manages effort reporting for the Division
Meets as needed with Principal Investigators to proactively review grant funding status, research personnel support and deadlines and to ensure compliance with prior approval requirements of each funding agency.
Monitors, audits and advises on the reallocation of funds and transfer of expenses as deemed appropriate according to sponsoring agency deadlines. This includes research accounts for the Division Head.
Performs personnel and non-personnel reconciliation
Monitors these monthly reports:
Employees on Expired Grants or Grants Expiring in 60 Days
o Expired or Expiring in 60 Days Grants
o NonPLM Employees on PLM
o PLM Employees on Other Div
o Possible Erroneous Journal Entries

  • Reconcile personnel expenses on grants monthly
  • Inactivate chart field strings


Education Required: Bachelor's degree.

Experience Required: Two years of grant management experience such as grant writing, grant submission and financial administration and one year of lead or supervisory experience. May substitute required education degree with additional years of equivalent experience on a one to one year basis. Successful completion of the LEADing Self Accelerate program may substitute for one year of required supervisory or management experience. Must pass pre-employment skills test as required and administered by Human Resources.
