The Assistant Project Manager works alongside the Project Manager to plan and execute projects for a company. Their duties include creating a detailed plan to successfully complete a project and organizing and storing project reports and documents. Assistant Project Managers often complete the day-to-day tasks involved in planning and implementing a project, like coordinating with vendors, monitoring budget spending and collaborating with other departments to find resources and more information for a project.

Essential Functions

  • Support the coordination and management of all development projects
  • Communicate with stakeholders regarding project needs and goals
  • Contribute to the planning and development of projects
  • Research information to support other teams and departments as needed
  • Perform administrative tasks such as preparing invoices, estimates, scheduling meetings, etc
  • Keep track of and report on project progress; take project photos.
  • Frequent site visits, interactions with construction site managers, subcontractors, and vendors.
  • Complete any tasks assigned by the Project Manager or construction team leadership in an efficient and timely manner
  • Work directly with project, procurement, and site managers to help achieve project goals
  • Oversee all aspects of projects and provide direct assistance to ensure timely project execution
  • Liaise with project lead and other project managers to measure and maintain project schedule
  • Participate and provide input into takeoffs, budgeting, procurement, planning, scheduling, and production tracking

Minimum Education, Experience and Skills

  • A Bachelor's or Master's degree in a field related to the development industry be preferred
  • This is an in-person, office based role. Frequent travel to construction sites is expected with about 40% of time spent in the field on average. A Habitat vehicle will be provided for travel to project sites but not for daily commuting.
  • Proven work experience as an Assistant Project Manager or similar role
  • Proficiency in Microsoft Office and project management software
  • Highly organized and able to multitask and oversee several projects simultaneously
  • Strong attention to detail and problem-solving skills
  • Excellent communication skills, both verbal and written
  • Verifiable leadership experience and capabilities, with past successful project execution
  • Ability and desire to work in collaborative environment to ensure successful project execution
  • Highly organized and detail-oriented with a passion for ensuring projects proceed efficiently and effectively
  • Ability to multitask in a high volume, fast paced work environment with very tight deadlines

Language Skills: Ability to effectively represent the affiliate within the organization and to external partners and businesses. Ability to read, analyze, and interpret common business documents, financial reports, and legal documents. Ability to respond to common inquiries from agencies, or the business community. Ability to effectively present information to top management, the public and/or board of directors.

Math Skills: Ability to calculate figures and amounts related to residential construction such as quantity, costs, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.

Reasoning Ability: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Computer Skills: Strong computer skills, software, spreadsheets, word processing, presentations, and email. Proficiency with computer usage, especially Microsoft Word, Excel, Outlook, and PowerPoint.

Certificates, Licenses and Registrations

  • Must be at least 18 and have a valid driver’s license with a good driving record.

  • Able to lift and carry up to 30 lbs.
  • Regularly sit / work at computer for extended periods of time
  • Navigate building construction sites with exposure to normal weather conditions and hazards
  • Ability to safely access all areas of the build site.
