Job Summary:

The Health Disparities Research Scholars Program (HDRS) is an interdisciplinary post-doctoral training program funded by the National Institutes of Health (NIH) and based in the Department of Population Health Sciences at the University of Wisconsin School of Medicine and Public Health. The HDRS supports the training of scholars from diverse fields to become interdisciplinary researchers with a focus on health among marginalized populations, particularly maternal/child, adolescent, and family health.
The Research Administrative Specialist will provide critical support to the HDRS by administering the day-to-day aspects of the program. In particular, this role will have responsibility for the full HDRS lifecycle, including trainee recruitment, onboarding, advanced administrative support (including but not limited to administering trainee appointments, managing trainee expenses, coordinating travel, and termination of trainee appointments), managing the effort reporting and certification process, managing progress reporting to NIH, and supporting the annual post-award closeout process. In addition, this position will support the training grant renewal process at the end of the current project period (April 30, 2028).

Responsibilities:
Works directly with principal investigator(s) and/or research program director(s) to carry out research administrative functions related sponsored grants, agreements, or award management (proposal preparation through closeout).
  • 20% Serves as a liaison and expert resource for researchers regarding the interpretation of policy and procedure related to overall sponsored project management
  • 5% Works collaboratively with researchers to prepare non-technical materials for proposals, drafting contracts or agreements for review, and/or advising award setup
  • 20% Leads researchers in the preparation and/or maintenance documentation, financial management, and/or reporting requirements related to sponsored grants, contracts, or agreements
  • 5% May identify funding opportunities and disseminate to principal investigators
  • 10% Maintains and monitors grants and contract budgets
  • 20% Assures compliance with grant, contract or agreement requirements and determine whether objectives are being met
  • 10% Manage day-to-day aspects of HDRS program
  • 10% Support admin needs of HDRS postdoctoral fellows

Qualifications:

Required Qualifications:
- Experience in grant or contract management.
- Experience performing administrative duties (for example, human resources/payroll, fiscal transactions, budget management) within a program or other organizational unit.
Preferred Qualifications:
- At least two years of experience in grant or contract management.
- At least two years of experience performing administrative duties (for example, human resources/payroll, fiscal transactions, budget management) within a program or other organizational unit.
- Experience maintaining compliance with National Institutes of Health (NIH) award terms and conditions, including but not limited to effort reporting and certification, progress reporting, and post-award closeout processes.
- Experience with the NIH xTrain and xTRACT environments.
- Experience recruiting, onboarding, and providing advanced administrative support to trainees, including managing trainee appointments.
- Certified Research Administrator (CRA) designation.
Desired Skills & Abilities:
- Ability to interact professionally and communicate successfully with a variety of individuals (trainees, faculty, students, staff).
- Possession of a customer-focused professional approach.
- Ability to create high quality products within a limited timeline.
- Ability to solve problems independently while simultaneously understanding when issues require escalation.


Work Type:

Full or Part Time: 50% - 100%
It is anticipated this position requires work be performed in-person, onsite, at a designated campus work location.

Salary:

Minimum $60,350 ANNUAL (12 months)
Depending on Qualifications
The starting salary for the position is $60,350 but is negotiable based on experience and qualifications.
