Position Summary: The Executive Assistant for Human Resources (HR) provides high-level administrative support to the Chief People and Culture Officer (CPCO), as well as HR Directors with key projects when additional help is needed. Primary focus is to support division leadership with the goals and responsibilities of the HR division. This position reports directly to the CPCO.

Location: Remote in the USA in the central and mountain time zones.

Hiring Range: This position will pay between $51,000 and $54,000 annually, depending on experience.

Interview Dates: Interviews will begin August 1st and continue through the following week.

Responsibilities:

  • Provide administrative support to CPCO, including managing calendars, answering the telephone, processing mail for division, processing expense reports, handling confidential matters, managing correspondence and other general administrative functions.
  • Schedule, coordinate and organize departmental meetings and conference calls. Prepare meeting notices, agendas, and meeting minutes as requested. Coordinate speakers and other logistics for divisional staff meetings.
  • Accurately prepare presentations, special reports, memos, spreadsheets, charts, tables, graphs, business plans and other documents as needed in support of departmental activities.
  • Coordinate travel arrangements, reconcile business credit card statements, and submit expense reports in a timely manner. Order office/housekeeping supplies as needed.
  • Manage timecards, paid time off (PTO), HR forms, and other organizational processes for key division staff.
  • Work with division team members to develop new and improved processes for division functions.
  • Develop and maintain positive relations with all staff, divisions, and consultants. Serve in a highly collaborative and supportive role to accomplish key projects through teamwork.
  • Maintain legal document files, correspondence files and other records in electronic format when possible and hard copy when necessary.
  • This position has access to highly sensitive information and confidentiality at all times is critical.
  • Perform other duties as assigned.

Skills and Experience:

  • Possession of a bachelor’s degree or higher from an accredited college or university required. In lieu of a degree, four (4) additional years of professional administrative experience will substitute for the bachelor’s degree requirement.
  • Minimum 5 years previous administrative support experience required.
  • Strong interpersonal skills; ability to interact with internal/external customers, donors, volunteers, and Board Members with tact and diplomacy.
  • Outstanding organizational skills and attention to detail.
  • Strong written and verbal communication skills.
  • Ability to think on your feet and maintain composure in a fast paced, sometimes high-stress environment. Must be able to juggle a multitude of tasks and projects.
  • Ability to maintain confidentiality with sensitive information.
  • Proficient (intermediate to advanced skills) with a variety of computer software applications including Microsoft Word, PowerPoint and Excel required. Comfortable learning new software programs and using online information systems.
  • Ability to work well independently; self-motivated, initiates projects and anticipates the needs of staff.
  • Effective problem-solving skills.
  • Valid driver’s license with access to transportation to travel on organization business.
  • Must be available for occasional early morning, evening and weekend meetings and events with appropriate notice.

Physical Requirements:

  • Must be able to sit for long periods of time.
  • Work at a computer for extended periods of time with repetitive typing, arm and hand motion.
  • Occasional travel may be required to attend Best Friends sponsored events.
  • Ability to work overtime including evenings and weekends occasionally as needed to meet required deadlines.
