The Henry M. Jackson Foundation for the Advancement of Military Medicine (HJF) is a nonprofit organization dedicated to advancing military medicine. We serve military, medical, academic and government clients by administering, managing and supporting preeminent scientific programs that benefit members of the armed forces and civilians alike. Since its founding in 1983, HJF has served as a vital link between the military medical community and its federal and private partners. HJF's support and administrative capabilities allow military medical researchers and clinicians to maintain their scientific focus and accomplish their research goals.
 

HJF is seeking a Program Coordinator to support of the Center for Rehabilitation Sciences Research (CRSR) at the Uniformed Services University of the Health Sciences (USUHS), located at Walter Reed National Military Medical Center (WRNMMC) in Bethesda, MD. The mission of CRSR is to lead synergistic rehabilitation-related translational research efforts within the Military Healthcare System and disseminate knowledge to the community in order to maximize functional recovery and promote the successful return to duty and community reintegration of injured service members, especially those with severe combat-related trauma.
 

The incumbent will provide administrative and programmatic support to maximize the effective use of project resources, under the direction of CRSR leadership including HJF Program Managers. They will coordinate operations under several Federally funded awards, in support of research that aims to advance/apply innovative technologies and novel rehabilitative interventions. The Program Coordinator works both under the supervision of Managers, as well as independently, to perform asset management, procurement and acquisitions, help provide safe and sufficient space/facilities for personnel, support the team with new hire onboarding actions, and support overall administrative tasks in project/program execution.

Responsibilities:

  • Coordinates procurement actions and ensures the terms and conditions of the award / funding vehicle are adhered to.
  • Develops and maintains Center tracking tools to provide metrics for OKRs and other reporting dashboards. Responsible for maintaining the Knowledge Product tracking tool and providing updates and metrics as requested.
  • Assists in overseeing and managing collection, maintenance, analysis, and evaluation of data used in grant submissions, presentations, and publications.
  • Develops and maintains Fixed Assets databases when onboarding new team members, updating disposition of current equipment, and tracking related IT Tickets for Center equipment. Handles all IT requests and responsible for ensuring all Government issued equipment are accounted for.
  • Communicates with internal staff and external customers as it relates to procurement, project progress, reporting metrics, etc. Negotiates with vendors and obtains quotes for equipment.
  • Assist in maintenance of program’s website, gathering content for program’s website and maintaining site.
  • Provides administrative support under the direction of a supervisor such as purchasing and tracking project and/or program progress.
  • Planning and collaborating with internal and external partners to execute program launch meetings, seminars, and annual research program meetings including annual research consortium events; such as State of the Science Symposium.
  • May perform other duties and responsibilities as assigned or directed by the supervisor. This may include attendance of and participation in required training for role.
 

Required Knowledge, Skills and Abilities
  • Knowledge of organizational objectives, office automation.
  • Ability to work completely independently, use sound judgement in solving problems.
  • Coordinate many complex systems and programs simultaneously.
  • Knowledge of project management principles, and good communications skills.
  • Experience planning and executing large events in collaboration with multiple partners, supporting administrative functions, and working well with others.
Supervisory Responsibilities
  • Assigned Lead: May recommend the following: employee hiring, disciplinary action, and starting salaries; provide input on employee performance evaluations.
Physical Capabilities
  • Lifting: Requires lifting materials up to 10 lbs.
  • Ability to stand or sit at a computer for prolonged periods

 

 

Qualifications:

Work Environment
  • This position will take place primarily in a office setting.
Education and Experience
  • Bachelor's Degree required
  • Minimum of 0 - 2 years experience required
