Position Highlights This position will provide direct administrative support to 11 faculty and a large group of postdocs and graduate students within the Department of Astronomy. Responsibilities will include meeting and travel scheduling, financial processing and documentation, various programmatic organization duties, website updates, extensive communication with internal and external stakeholders, and record keeping and/or report development.

This is a dedicated administrative support position for faculty members and students of the Steward Theory, Data and Computation (TDC) group. This role will work in coordination with the TDC project manager and other administrative staff. The successful candidate will bring strong organizational and administrative support skills and experience working effectively across broad and diverse programs.

This position will allow for flexible/hybrid work arrangements within Arizona.

Duties & Responsibilities
  • Provide reliable, consistent, and professional administrative support to Steward Theory, Data and Computation faculty, postdoctoral scholars, and graduate students travel organization and processing, purchasing and reimbursements, and general financial management tasks. Respond to student and faculty inquiries and non-routine requests for information. Coordinate efforts with the TDC Project Manager and the Steward Observatory Business Office.
  • Organize and support meetings, conferences, workshops or other events, complete academic correspondence, facilitate equipment acquisition and property management, and other operational activities. Liaison with other campus entities to support research and training efforts for students or project initiatives.
  • Assist with hiring undergraduate students for research experience including student announcements and communications, application processing, record keeping, and general coordination. 
  • Asset development including email campaigns, program announcements and documentation, social media campaigns, website updates, and other various materials as needed.

Knowledge, Skills, and Abilities:

  • Successful candidate will be self-motivated, able to work independently and as a team member. Able to manage several projects concurrently, prioritize tasks, and meet deadlines.
  • Knowledge of office and administrative practices and principles.
  • Proficiency in Microsoft programs, including Word, Excel, Power Point, and Zoom.
  • Demonstrates excellent communication skills, follow through, and attention to detail.
Minimum Qualifications
  • High school diploma or equivalent, or equivalent learning attained through experience required.
  • Minimum of 3 years of relevant experience, or equivalent combination of education and work experience.
Preferred Qualifications
  • Experience working in academic research setting.
  • Demonstrated advanced experience working effectively across projects, diverse teams, and research/education initiatives.
