Department-Specific Responsibilities

  • Assists the Department's Director of Graduate Studies (DGS) in administering the Graduate Program in the Department of Mathematics.
  • Manages the day-to-day running of the graduate programs in the department. These programs include: the PhD degree programs in Mathematics and Mathematical Physics, the MA degree program in Mathematics, and the MAT degree program in Mathematics. The department currently has over 100 graduate students, most of whom are also SAAs.
  • Oversees student services needs of graduate students. 
  • Provides guidance to students and faculty regarding the graduate policies of the department, college, and university; maintains student records, from application to degree completion; organizes the administration of degree benchmarks, including Tier I exams, Tier II review, Tier III exams, and thesis defenses.
  • Manages graduate student office and common spaces
  • Facilitates recruitment and onboarding activities.
  • Arranges prospective student visits, including travel/accommodations arrangements, classroom visits, and faculty and student meetings. 
  • Manages these duties accurately and efficiently allows the department to recruit the best, most diverse, graduate student body possible and ensures departmental compliance with student recruitment and hiring procedures.
  • Oversees the processing and evaluation of all applications for admission; monitors the progress of enrolled students; administers student academic appointments and internal and external fellowships.
  • Maintains and processes graduate student academic records and confirms that graduating students have met course and program requirements. It helps students understand program requirements, university policies and career options. 
  • Coordinates with faculty and directors of graduate programs to analyze and provide student academic and outcome data needed for training grant proposals and reports for funding agencies and internal and external administrative committees and offices.
  • Confers with DGS on issues related to increasing the application and admission level of highly qualified graduate students to the Department of MATH. 
  • Respond to inquiries concerning graduate programs; compose drafts and edit correspondence for Director of Graduate Studies, as needed. 
  • Create and maintain recruitment databases.
  • Assists with the design and creation of program brochures and posters and entries in the College of Arts + Sciences bulletins. 
  • Contributes content for the graduate portion of the Department of MATH web site.
  • In collaboration with other departmental staff including the Fiscal Officer, and under the direction of the DGS, the GSC manages the hiring, evaluation, and termination of graduate SAA and hourly employees.  
  • Serves as supervisor for required training of SAAs, including FERPA and Title IX. The GSC assists the DGS in the administration of awards to graduate students.
  • Serves as resource to graduate students concerning career development and visa issues. 
  • May serve as initial contact for graduate students dealing with sensitive confidential issues, including but not limited to academic issues, financial issues, conflicts or adverse interactions with other students or faculty. Refers students to appropriate individual/office for resolution. 
  • Assists graduate students who experience challenges associated with their bursar account.

General Responsibilities

  • Develops and implements programs and initiatives that touch on various/multiple student-related goals, such as enhancing and reinforcing academic engagement and experiential learning; increasing student engagement, wellness, and involvement; fostering learning, inclusion, and development; supporting students in crisis and adversity; and improving the student campus experience.
  • Interfaces directly with students by attending student programming events, advising student organization leaders, meeting one-on-one to discuss areas of concern on campus, and gathering satisfaction feedback from student participants to implement into future student services initiatives and objectives.
  • Collaborates with staff in own department and other departments, as well as academic and campus leaders, on shared student services goals, often coordinating funding to sponsor student programs and initiatives.
  • Projects outcomes for services offered at the program, department/division, or campus level. Measures and evaluates effectiveness of student services against projected outcomes; may prepare reports on impact to students and budget and may present to stakeholders on effectiveness and to secure funding for initiatives moving forward.
  • May serve on committees and perform student services research across the field of higher education and at peer institutions to identify and recommend best practices.
  • Plans and coordinates communications for student services initiatives to ensure student participation and engagement.

EDUCATION

Required

  • Bachelor's degree in public affairs, counseling, social work, education, business, or related field

Preferred

  • Master's degree in higher education, student affairs, or related field

WORK EXPERIENCE

Preferred

  • 4 years or more of office or related experience, particularly in program administration and employee oversight, in some combination.

This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus.
