Posting Summary
Rutgers University-Newark, an urban public research university and anchor institution, located in Newark, New Jersey, a city of promise is seeking a Program Coordinator I. Reporting to the board director, the position provides administrative support to researchers, the board, and all of CARES programs and initiatives.
This position is responsible for and not limited to the following:
  • Provides support to Community and Rutgers-Newark Engaged Science (CARES) that include:, programs, projects, events, research, grant administration, communication, and office administration
  • Contributes to building capacity for faculty across departments to get involved in community-engaged scholarship and to bring a broad array of scientific knowledge directly to the greater Newark community
  • Coordinates CARES programming, projects, and events
  • Coordinates day-to-day operations, and serves as the office manager and first-point-of contact for CARES, Rutgers University-Newark, ensuring efficient and effective operations through a wide range of administrative responsibilities
  • Supports the mission and vision of CARES by ensuring smooth operations and contributing to an inclusive, community-focused environment.
  • Assists with efficient and accurate maintenance, review, monitoring, and management of budget, payroll, and human resources information and transactions for CARES
  • Coordinates communications efforts, such as maintaining and updating web and social media presences; developing, maintaining, and updating electronic and other mailing lists; creating and distributing effective publicity materials; and working with external vendors
  • Must provide timely and accurate information in response to requests and in complying with the policies and processes of CARES, the School of Arts and Sciences-Newark (SASN), Rutgers University-Newark (RU-N), the Rutgers system and external organizations and funders

Consistent with the current application of Rutgers Policy 60.3.22, this position may be eligible for a hybrid work arrangement.
The flexible work arrangements outlined in Rutgers Policy 60.3.22 are part of a pilot program that is effective September 1, 2022 through August 31, 2023. Therefore, there is no guarantee that this flexible work arrangement will continue beyond that date. Flexible work arrangements are not permanent, are subject to change or cancellation and contingent on the employee receiving approval in the FlexWork@RU Application System. Qualifications


Minimum Education and Experience
  • Requires a bachelor’s degree, or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of office administration, project management, and promotion and outreach
  • Also requires a minimum of two years relevant experience in a program coordination or administrative function and computer literacy

Equipment Utilized
Position regularly uses MS Office Suite, Cornerstone, ROCS, HCM, RAPSS, ECRT, E-Verify, and knows or will learn any and all systems RU uses for expense reimbursement, absence reporting, time keeping, personnel appointments, parking, telephones, payroll, grant submission, recruitment, facilities and space scheduling and management, event management, website and social media maintenance and updates, and all equipment, software, and specialized materials needed to support the effective and efficient performance of this position.
