Posting Summary
Rutgers, The State University of New Jersey, is seeking a Program Coordinator I for the School of Arts and Sciences – Graduate Programs in Molecular Biosciences Office. Reporting to the Directors of the programs in the Division of Life Sciences (DLS), this position performs professional level work that requires knowledge of academic requirements and maintenance of program databases and websites.
Among the key duties of this position are the following:
  • Manages and provides administrative continuity for graduate program directors, in part by identifying and solving problems.
  • Manages the daily operations of the Molecular Biosciences (MBS) program, including the supervision of a part-time employee, and students.
  • Supports program directors to achieve goals of recruiting high quality graduate students by managing the admissions process including review of applications, interviews, recruitment and admission process and the planning of events.
  • Works with Program directors to support graduate students, assisting them to meet graduation and course requirements.
  • Monitors graduate student progress to ensure they are aware of upcoming deadlines for submission of materials required for graduation.
  • Serves as a liaison between graduate faculty and students with various Rutgers administrative offices including University/SAS Human Resources (HR), School of Graduate Studies (SGS), and Rutgers Global to assist international students with enrollment.
  • Works with HR to prepare and process payroll, health insurance and onboarding for graduate fellows.
  • Coordinates Faculty involvement in teaching and committee work.
  • Work with the registrar to schedule all Molecular Biosciences courses utilizing Rutgers system software (Course Atlas).
  • Supervises database management, student tracking, prepare reports for Program Directors, provide data for grant applications, and meet reporting and survey requirements of Rutgers.
  • Maintains and update the Graduate program website using Joomla.
  • Contributes to enhancing the messaging and image of the Graduate Program in Molecular Biosciences.

Consistent with the current application of Rutgers Policy 60.3.22, this position may be eligible for a hybrid work arrangement.
The flexible work arrangements outlined in Rutgers Policy 60.3.22 are part of a pilot program that is effective September 1, 2022 through August 31, 2023. Therefore, there is no guarantee that this flexible work arrangement will continue beyond that date. Flexible work arrangements are not permanent, are subject to change or cancellation and contingent on the employee receiving approval in the FlexWork@RU Application System. Qualifications


Minimum Education and Experience
  • Bachelor’s degree in a related field, or an equivalent combination of education and/or experience.
  • A minimum of two (2) years relevant experience in program coordination or administrative function that includes coordination of work and management of projects.
Certifications/Licenses
Required Knowledge, Skills, and Abilities
  • Good communication skills and computer literacy.
  • Must be able to demonstrate knowledge and understanding of office administration, organization, coordination, facilitation, report analysis, writing, and promotion.
  • Effective communication skills, both written and spoken.
  • Knowledge of academic department procedures and curricular matters.
Preferred Qualifications
  • Three years relevant experience in program coordination or administrative function.
  • Experience in working in a multi-cultural environment.
  • Experience with Rutgers payroll, accounting and purchasing system.
