Senior Administrative Assistant

Job Description

SENIOR ADMINISTRATIVE ASSISTANT, Program in Science, Technology, and Society (STS), to perform complex and diverse administrative tasks in support of STS and its department head. Responsibilities include events management for annual events, workshops, retreats, and other events related to distinguished visitors; overseeing and updating the STS website and social media platforms; writing and coordinating internal and external communications; organizing and preparing materials for faculty promotion cases, faculty meetings, faculty searches, and other activities; serving as the primary contact for the department head’s calendar; preparing materials for department head’s teaching and research-related activities; processing and reviewing the accuracy of human resource transactions; coordinating and processing visa application for non-student STS appointments; preparing and processing requisitions, invoices, and travel reports for STS department head, director of administration and finance, and visitors; serving as a procurement card verifier; maintaining office supplies and equipment inventories; and collaborating on the coordination of office renovations and moves.  

Job Requirements:

REQUIRED:  high school diploma or its equivalent; five years of administrative, office, or related experience; proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint), and Adobe products (Photoshop, In Design), Google Suite, and FileMaker Pro; experience with web publishing tools (preferably WordPress and HTML and social media platforms--Twitter, Instagram, and Facebook) and Zoom video conferencing; excellent organizational and oral and written communication skills; meticulous attention to detail; effective interpersonal and customer service skills; and discretion and good judgment with confidential matters.  Must be able to work independently and anticipate needs; manage multiple priorities; research and resolve problems, identifying and carrying out appropriate follow-ups as needed; and work effectively with people at all levels of administration.  Job #22832-6
