Position Summary

The Opportunity: Skagit Valley College (SVC) has an opening for an Entry Services Coordinator in Enrollment Services. This position serves as a primary point of contact for new students, managing the admissions process using Student Management System (PeopleSoft) and providing essential customer support for students. In addition, the position supports daily operations on the Mount Vernon campus and is a liaison to Whidbey Island Campus and the San Juan enrollment services team. The job is a 100% full-time, classified position working 40 hours per week with a flexible schedule to accommodate limited evening hours.

The Entry Services Coordinator works in an environment where technology must be infused into all enrollment services processes while ensuring confidentiality and the utmost professional service delivery. All inbound and outbound communications include face-to-face interactions and telephone and online customer service. The selected candidate will receive training in admissions, enrollment services, and transcript processing/evaluation processes. Further, this full-time position provides information and assists students by making referrals to/ or serving as a liaison to other departments such as financial aid, workforce grants, advising, and student life.

The Location: Skagit Valley College is on the traditional and unceded territories of the Coast Salish People’s, especially on Swinomish Indian Tribal Community, Upper Skagit Indian Tribe, Samish Indian Nation, Nooksack Indian Tribe, and Sauk-Suiattle Indian Tribe. Duties and Responsibilities

Manage Intake Process:


  • Monitor and process admissions applications from prospective students for a breadth of SVC programs such as SVC degrees and certificates, GED, high school completion, and dual enrollment using the PeopleSoft ctcLink student information management system;
  • Connects with a student who does not complete the admission process to ensure entry into an SVC program and to develop new plans to address emerging issues.
  • Provide comprehensive customer service to students navigating through admissions, registration, and placement;
  • Respond to inquiries in-person, via the telephone and enrollment services email accounts, develop accurate responses, provide resolution, and follow through with complex questions;
  • Refer students to appropriate resources and services to support the entry process, such as disability, Veterans services, Worker Retraining, WorkFirst, Opportunity Grant, BFET, Running Start, private and public scholarship resources, testing, and cashiering.

Transition prospective students successfully to Skagit Valley College Programs:
  • Assist in planning and attending Student Orientation as an Enrollment Services representative:
  • Assist the Director of Outreach in designing communications for prospective students and students who still need to complete the application process:
  • Refer prospective students to college Admissions Labs for assistance with completing college applications and support BEdA students registering for CASAS:
  • Act as liaison with Basic Education for Adults WBERS staff and navigators to ensure a continuum of support for BEdA students

Perform Administrative Tasks:
  • Assist Director of Enrollment Services in applying students’ waivers and other duties related to maintaining student accounts in ctcLink:
  • Apply appropriate placement milestones to student accounts at intake and provide routine ctcLink training on processes for new or current staff:
  • Support the Enrollment Services team in scheduling meetings, training, and travel arrangements:
  • Represent the department at various meetings, campus events, and conferences as assigned.

Qualifications

Minimum Qualifications:

  • High school completion/diploma, GED, or equivalent;
  • One (1) year of experience providing clerical support that includes data entry, phone, and email management, as well as ability to manage multiple priorities;
  • Multilingual in English and Spanish, including ability to read, write, and speak in Spanish at an advanced/fluent speaker level.

Desired Qualifications:
  • Associate degree or higher;
  • Two (2) years of experience in providing excellent customer service to a diverse clientele in Student Services, Enrollment Services, Admissions, Registration, Financial Aid, or related area or in a program specialty that provides similar services to a specific population;
  • Multilingual in English and Spanish, including ability to read, write, and speak in Spanish at an advanced/fluent speaker level.

 

Salary, Benefits, Conditions of Employment, Application Procedure

 

  • Salary is based on Range 38, Step C, $3,246 per month with periodic increments to $4,013 per month (this includes the multilingual premium of 5%). Starting salary may be dependent on education, qualifications, and experience. Salary and benefits are subject to change in accordance with legislative mandates and collective bargaining agreements.
  • This position is eligible for overtime pay in accordance with the Fair Labor Standards Act and is dependent upon continued grant funding.
  • This is a union-represented position subject to a collective bargaining agreement.

Conditions of Employment:
