Reporting to the college Registrar, the Assistant Registrar will provide critical leadership and support necessary to ensure the successful day-to-day operations of the Registrar's Office in the areas of academic records, registration, scheduling, credential progress and conferral, catalog, enrollment and degree compliance reporting, and transfer credit. The position must maintain high ethical standards in applying the regulations while remaining student/customer service focused. Must be able to demonstrate the following core competencies; adaptability to change, analytical aptitude and problem solving, relationship management, balance being team and results-oriented, and ability to succeed in a fast-paced environment managing multiple priorities.

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Update and maintain student records by processing forms including but not limited to course substitutions, grade change requests, course waivers, withdrawals, never attended related request, athletic waivers, change of program, and degree evaluations.
  • Coordinate graduation certification process and assist with commencement preparation.
  • Set up and manage waiting list processing and student communication.
  • Assist with building and updating courses and programs in Degree audit. Develop, update, and maintain curriculum tracks for use in Student Planning. Assist with testing of upgrades in the student system.
  • Assist the Registrar in the administration of applicable federal and/or state laws and regulations that impact the Student Records Office including but nor limited to FERPA.
  • Participate in appropriate college committees and professional organizations that will assist with professional development and best practices.
  • Monitor the accuracy and consistency of evaluation of transcripts from accredited colleges and universities in the United States and other countries; post elective or equivalent credit for eligible courses and credentials related to course equivalencies, as appropriate.
  • Maintain web site updates related to records, calendar, grades, transcripts and graduation.
  • Provide and present reliable information to students, staff, and faculty regarding grades, incomplete s, articulation, degrees and certificates, advising issues, publications, and transfer of courses.
  • Use Colleague, the National Student Clearinghouse and other existing programs as needed for daily operations. Serve as a resource person and recommend solutions to specific records related problems for administrators and offices across campus.
  • Other duties as assigned by the supervisor.

  • SUPERVISORY RESPONSIBILITIES
    This position supervises full time employees and work- study students.

 

Required Qualifications

 

  • Bachelor’s degree or Associate degree with comparable experience.
  • Demonstrated experience and working knowledge of a student information system.
  • Proficiency in Microsoft Office and Excel.
  • Attention to details and self motivated.
  • Excellent interpersonal and communication skills.
  • Ability to manage several projects simultaneously.
  • Works well independently or in a team environment.
  • Ability to interact with all members of the college community including administration, faculty, staff, and students.
  • Familiarity with community college academic courses and programs, general education requirements, student policies and procedures.

 

Preferred Qualifications, Knowledge and Skills

 

  • Master’s degree
  • Evidence of effective use of computer technology and Colleague experience. Familiarity with software applications related to student records including Parchment.
  • Experience using and/or monitoring the accuracy of a degree audit system.
