Essential Job Duties

The University Program Specialist will work as an integral part of the finance and Operations team. The responsibilities for this position are split into four core areas: finance, human resources, events, and office administration. This position will provide high-level guidance to department staff and be an important link to external stakeholders. This position must anticipate, coordinate, and administer the departmental business, HR, fiscal responsibilities, communications, and events. Attention to detail, research, development, and analysis is critical to this position. Excellent communication of financial, HR, and business policies/regulations is required.

Major responsibilities of the position include, and are not limited to the following:
  • Purchasing contracts, and onboarding vendors;
  • Purchase card reconciliation;
  • Initiate purchase orders and process purchase order invoices;
  • Independently create marketplace orders, process the receivers, and resolve any issues;
  • Lead and administer program/project activities and protocols to include the Wolfpack Wellness activities and Diversity, Equity, Inclusion, and Belonging Activities;
  • Wolftime Timekeeper and leave coordinator;
  • Facilities Liason;
  • Event planning/management; and
  • Office administration to include wolfcopy, key inventory, equipment tracking, comtech/phone maintenance.

Minimum Experience/Education

Bachelor’s degree and one year of experience related to the area of assignment; or equivalent combination of training and experience.
 
All degrees must be received from appropriately accredited institutions.

Other Required Qualifications

  • Experience in a higher education setting or nonprofit organization;
  • Microsoft Office and Google Suite competency;
  • Familiarity with general accounting, PeopleSoft Financials, PeopleAdmin, Foundations and Advancement System, Quickbooks, or a related university financial system;
  • Event management/project management competency.
