Overview

The schedule of this position will be 9 AM - 5:30 PM, Monday-Friday.

Reporting to the Associate Director, Center for Prevention of Progression, the Program Administrator I is responsible for several operational, administrative, project, and financial functions within the Center for Prevention of Progression (CPOP) at Dana-Farber Cancer Institute. Uses various office software to produce reports, spreadsheets, presentations, or other documents as needed. Requires knowledge of Institute policies and practices and will be required to interface with senior faculty.

The Center for Prevention of Progression (CPOP) is the first-of-its-kind clinic for patients with precursor conditions of hematologic malignancies. As part of the Hematologic Oncology Treatment Center, the Center for Prevention of Progression builds on Dana-Farber's past and ongoing research efforts for precursor conditions. The clinic evaluates individuals diagnosed with these conditions or at high risk for disease development and works with patients to manage their risk of disease progression.


As with many solid tumors, some blood cancers are preceded by precursor conditions. These conditions are sometimes found through routine blood tests, but often remain undiagnosed. In the Center for Prevention of Progression, we strive to detect blood cancer precursor conditions and intervene early to prevent blood cancers from developing.

Responsibilities

Primary Duties and Responsibilities: 

  • Provides administrative support for the center’s leadership, physicians, and designated programs.
  • Plans and coordinates meetings, schedules, events, team activities, and conferences, as well as associated agendas, itineraries, catering, and any travel and accommodations.
  • Responsible for set-up and break-down of meeting and event spaces, including food/beverage and A/V assistance for onsite and hybrid meetings and conferences.
  • Participates and provides administrative support in committees, meetings and in rollouts programming initiatives.
  • Prepares general correspondence, including letters of support, and provides assistance in drafting and gathering documents relating to funding submissions, progress reports, and other efforts as needed.
  • Prepares drafts of PowerPoints and presentation materials.
  • Prepares monthly expense reports, performs Pcard reconciliations, creates invoices, and processes requests for vendor payments with AP.
  • Responsible for paperwork processing for onboarding of new hires, weekly timekeeping, and termination of staff in coordination with leadership and HR.
  • May be asked to be a representative in committees, cross-department responsibilities and/or task forces.
  • May be responsible for website maintenance and social media updates as needed.Coordinate moves, meetings assignments, equipment distribution and upkeep, as well as distribution of departmental software licenses.
  • Assists in the training of new staff and/or students within the group.
  • Understands and upholds the Institute's policies and procedures and sets a thorough example with regards to these.
  • Coordinates annual staff review process.
  • May be asked to collaborate with other administrative teams for interdepartmental initiatives.
  • Provides feedback and contributes to process improvement.
  • Other duties as needed.

Qualifications

Minimum Job Qualifications:

  • Bachelor’s degree required
  • 2-4 years experience in an office setting preferred
  • Excellent English language reading, writing, and speaking skills required.
  • Demonstrated presentation skills, in particular powerpoint and formal reports
  • Demonstrated writing composition skills
  • Demonstrated organizational, intrapersonal, and time management skills

Knowledge, Skills, and Abilities Required:

  • Excellent written and oral communication skills
  • Mastery of business applications including Microsoft Office, Microsoft Outlook, PowerPoint, and other typical business and project management software, and the ability to quickly learn new software systems
  • Strong customer service skills and the ability to interact professionally with peers, patients, and leadership as well as internal and external collaborators
  • Must maintain confidentiality and demonstrate discretion
  • Excellent ability to organize, prioritize and follow-through with minimum supervision; ability to multitask under time sensitive pressures
  • Demonstrated critical thinking and proactive problem-solving skills
  • Demonstrated ability to collaborate in a highly matrixed, fast-paced team environment while providing high level of service
