Support Staff and Operations Administrator

Job Description

SUPPORT STAFF AND OPERATIONS ADMINISTRATOR, Aeronautics and Astronautics (AeroAstro), to be responsible for hiring, onboarding, oversight, and training of administrative assistants (AAs); maintaining process documentation; assisting with the faculty hiring process; and performing a variety of other duties.  Responsibilities include assisting with the AA recruiting process; training AAs on department and MIT processes, policies, procedures, and systems; onboarding, mentoring, and training new assistants in all aspects of their responsibilities in support of principal investigators (PIs); defining key aspects of administrative support requirements for PIs; triaging urgent/unexpected/surge administrative demands; leading/co-leading zoom sessions and other meetings; administering annual AA needs assessment, providing feedback, and addressing any concerns; planning, executing, and facilitating regular training; developing and gather metrics on training program’s effectiveness; developing, executing, and managing program/project plans and proposals; developing recommendations for program/project process improvements; developing, administering, implementing, and updating Wikis or similar about the department’s administrative functions; gathering input for and drafting and submitting the annual Outside Professional Activities report; assisting with the faculty hire appointment process, including preparing offer letters, maintaining spreadsheets, and preparing and submitting chair appointment paperwork.  

Job Requirements:

REQUIRED:  bachelor’s degree; at least three years’ administrative, operations, and/or project/program management experience; proficiency with all MIT systems, including Concur, SAP, B2P, Wikis, and other enterprise systems; excellent organizational and interpersonal skills; attention to detail; accountability; and flexibility and openness to developing and executing novel ideas.  Must be able to manage a wide variety of duties; learn quickly; work with critical time demands; negotiate conflict with tact and diplomacy; and plan, execute, lead, and influence decisions and drive consensus when issues are complex.  PREFERRED:  expertise as a trainer or mentor.  Job 22807-8
