The Human Resources Consultant Assistant 2 is an entry-level position that provides essential support in all functional areas of the Human Resources department at Olympic College. This role serves as the primary point of contact at the front desk, ensuring professional and efficient assistance to employees, students, and external visitors. The incumbent will have the opportunity to gain hands-on experience and develop a solid foundation in various HR practices, policies, and procedures.

Essential Functions

Front Desk Operations


  • Serve as the first point of contact for employees, students, and visitors, providing excellent customer service and answering inquiries promptly and courteously.
  • Manage the reception area, including greeting visitors, directing them to appropriate departments, and maintaining a professional and welcoming environment.
  • Handle incoming calls, routing them to the appropriate personnel, taking messages, and providing accurate information when required.
  • Maintain and update employee directories, contact lists, and other related information.
HR Administration and Support
  • Assist with the recruitment and hiring process, including posting job advertisements, screening applications, scheduling interviews, and coordinating pre-employment checks.
  • Support employee onboarding and orientation activities, ensuring new hires receive necessary paperwork, complete required training, and have a smooth transition into their roles.
  • Assist with maintaining employee personnel files, ensuring confidentiality and accuracy of documentation.
  • Contribute to HR projects, such as policy and procedure updates, HR data analysis, and employee engagement initiatives.
  • Collaborate with HR team members to organize and coordinate HR events, meetings, and training sessions.
Employee Relations and Support
  • Provide basic employee relations support by addressing general HR inquiries and escalating complex issues to the appropriate HR personnel.
  • Assist in facilitating employee recognition programs and initiatives.
  • Support the performance management process, including maintaining performance appraisal records and assisting with the evaluation process.
HR Data and Reporting
  • Assist in maintaining accurate HR databases and systems, ensuring employee data integrity.
  • Generate routine HR reports, data analysis, and metrics to support decision-making processes.
Minutes Taking for Labor-Management Communication Committee (LMCC) (Optional)
  • Provide support to the Labor-Management Communication Committee (LMCC) meetings by assisting in taking accurate and detailed minutes.
  • Attend LMCC meetings, record discussions, decisions, and action items, and prepare comprehensive meeting minutes in a timely manner.
  • Ensure the distribution of meeting minutes to relevant stakeholders and assist in tracking action item completion.
Benefits Administration Support
  • Assist in benefits administration tasks, including enrolling new employees, processing benefit changes, and ensuring accurate records in the HR system.
  • Provide support to employees by answering general benefits inquiries, explaining benefit plans, and assisting with benefits-related forms and processes.
  • Collaborate with the HR team and benefits providers to resolve benefits-related issues and ensure compliance with applicable regulations.
Payroll Office Support
  • Collaborate with the payroll office to provide administrative support, such as gathering and verifying payroll data, tracking time and attendance records, and assisting with payroll processing.
  • Assist in the preparation of payroll-related documents, including employment verification, deductions, and tax forms.
  • Maintain confidentiality and accuracy of payroll records and assist in resolving payroll discrepancies or inquiries.
FMLA and Accommodations Support
  • Assist in managing Family and Medical Leave Act (FMLA) processes, including tracking and documenting FMLA requests, coordinating with employees, supervisors, and healthcare providers, and maintaining appropriate records.
  • Provide support in handling accommodation requests, working closely with employees, supervisors, and the HR team to ensure compliance with relevant laws and company policies.
  • Maintain accurate records and documents related to FMLA, accommodations, and disability management.

 

Qualifications

 

Minimum Qualifications

  • High School Graduate or equivalent

Desired Qualifications

  • Experience working in an HR office.
  • Intermediate or advanced knowledge of Excel and/or other Office products

Additional Information

 

Terms of Employment

This is a full-time classified position scheduled to work 40 hours a week, with a salary range of $40,812 to $54,497. All classified positions will start their salary at Step A, when you have completed six months of probation, you will receive a 5 percent pay increase. A collective bargaining agreement exists, and this position is covered by the Washington Public Employees Associate (WPEA) Union. Classified positions qualify for the following benefits:

Conditions of Employment

  • Prior to a new hire, a background check including criminal record history will be conducted.
