Job Description

Located in the heart of the Appalachian region, Virginia Highlands Community College (VHCC) serves the city of Bristol, Washington County, and the western portion of Smyth County, Virginia. In view of Mt. Rogers and Whitetop Mountain, VHCC serves as a beacon for educational opportunities at Exit 14 on Interstate 81 in historic Abingdon, Virginia. With a robust 56-year heritage, VHCC serves students in the service region through a Workforce Development Division, a Professional and Technical Studies Division, an Arts and Sciences Division, and a Health Program Division. VHCC awards workforce credentials, as well as Associate of Applied Science degrees, Associate of Arts and Sciences degrees, certificates, and career studies certificates. VHCC is seeking an Administrative Assistant who will be responsible for the Information Center and Switchboard on campus, while providing administrative support to two Vice Presidents.

Administrative Assistant/Receptionist: State role title is Administrative and Office Specialist III. Full-time position with a comprehensive benefits package.
Responsibilities/Duties: Responsible for providing excellent customer service to internal and external customers while presenting a positive and professional image at all times. Conduct themselves and maintain their work area in a neat, polite and professional manner which expresses a welcoming environment and positive College values. This position requires professionalism, tact, confidentiality, dedication to high quality customer service standards. The hours of work are 8:30 am until 5 pm.
Duties include but not limited to:
  • Operates multi-line telephone system to answer incoming calls in a courteous and professional manner; directs callers to appropriate personnel and or takes and delivers messages/transfers calls to voice mail when appropriate.
 

  • Greet all visitors to campus.
 

  • Provides accurate information and responds professionally to callers and visitors. Maintains a working knowledge of organizational structure.
 

  • Provides solutions and support to internal and external customers using in-depth knowledge of the agency. Hears and resolves complaints from internal and external customers and deals effectively with difficult customers in a calm and tactful manner. Refers to appropriate administrator for resolution if needed.
 

  • Provides administrative and clerical support for the offices of the Vice President of Finance & Administration and the Vice President of Institutional Advancement. Duties to include preparation of correspondence and documents, meeting coordination, updating databases, preparing and maintaining spreadsheets, filing, photocopying, collating. Manages procurement, receiving and travel for both offices.
 

  • Processes incoming and outgoing mail. Maintains up-to-date knowledge of postal regulations, rates, and other postal processes.
 

  • Notifies appropriate staff and/or emergency services if emergencies arise.
 

  • Maintains and resolves Accounts Payable issues including managing the Invoice Exception Queue to ensure prompt pay is met.

 

 

Special Assignments

May be required to perform other duties as assigned. May be required to assist the agency or state government generally in the event of an emergency declaration by the Governor.

 

KSA's/Required Qualifications
Personable and articulate with the ability to develop and maintain effective working relationships with a wide range of individuals and groups required. Well-organized with the ability to plan and prioritize work; multi-task; use independent judgement to make decisions; meet deadlines; and the ability to communicate effectively under pressure is required. Excellent communication skills – verbal as well as written with the ability to compose memoranda, letters, minutes, presentations and reports from information provided with minimal supervision required. Ability to use critical thinking skills in problem solving and decision making required. Ability to understand and apply a wide range of policies, procedures and regulations required. Highly computer literate in the operation and application of all Microsoft Office programs to include Word, PowerPoint and Excel required. Ability to maintain a high level of professionalism and confidentiality required. Establishes and maintains effective relationships with students, faculty & staff and other stakeholders important to the college required. High School diploma or equivalent.

 

Preferred Qualifications
Previous customer service experience. Previous experience in a fast-paced work environment. Education and/or experience equivalent to an Associate Degree in Business, Administrative Support Technology or a related field required.
