Since 1973, Ayuda has provided critical services on a wide range of issues, in the process acquiring nationally recognized expertise in several fields including immigration law, language access, domestic violence and human trafficking. Ayuda has office locations in Washington, DC, Silver Spring, MD and Fairfax, VA.

WHAT WILL THIS JOB ENTAIL?

The Executive Assistant will serve as the right hand to the Executive Director and provide comprehensive administrative support to ensure seamless execution of her professional priorities. This position will also work closely with other internal stakeholders, including the Director of Operations, Director of Development and the rest of the senior management team.

Specifically, the Executive Assistant will be responsible for the following:

  • Manage the Executive Director’s calendar and email inbox
  • Keep track of tasks and deadlines coming out of group planning meetings and follow up as needed to ensure that everyone’s parts are completed
  • Schedule meetings for the ED, prepare materials, arrange space and ensure appropriate follow-up after the meeting
  • Coordinate scheduling of Board and Committee meetings
  • Provide general administrative support to the ED regarding Board-related matters including coordinating the completion of board reports, preparing materials for Board meetings, setting up the meeting space, ordering gifts for outgoing board members, etc.
  • Support ED with donor relations, including by e-mailing donors on ED’s behalf, coordinating meetings and entering the ED’s donor correspondence into the donor database
  • Assist with scheduling and execution of senior management, leadership and organization-wide meetings and events
  • Runs business-related errands for the organization
  • Handle the Executive Director’s credit card and completes monthly reconciliation
  • Provide support to the Development team by processing donations, running reports, adding notes in files from donor meetings and performing other tasks related to prospect research
  • Complete other duties as assigned by the Executive Director
  • Assist departments throughout the organization with special projects as needed

This role is hybrid; the Executive Assistant is expected to be in person on some days, particularly in the first few months. After that, the role could be done remotely for up to 3-4 days per week.

HOW DO YOU KNOW IF YOU CAN DO THIS JOB?

Eligibility: Must be legally able to work in the United States and maintain proper work authorization throughout employment. Must be able to meet the physical requirements of the position presented in a general office environment. Satisfactory results from a background check to include criminal history and a search of the employee’s name against a national registry of sex offenders.

Education/Experience/Skills:

Required:

  • Bachelor’s degree and 2-3 years of relevant professional experience
  • Experience supporting a high-level executive
  • Strong command of Microsoft Office suite
  • Excellent written and oral communication skills
  • Exceptional attention to detail and organizational skills
  • Ability to multitask and adhere to strict deadlines
  • Ability to work independently with minimal supervision
  • Ability to maintain strict standards of confidentiality
  • Ability to work with diverse populations
  • Routinely displays confidence, humility, and grace under pressure

SALARY AND BENEFITS:

The anticipated salary for this position is $60,000 to $70,000 per year, commensurate with experience.
