Under the general direction of the MSO, the incumbent is responsible for the overall management of the Graduate programs in Literature. The Department of Literature serves approximately 65 PhD students, 15 MFA students, 47 ladder-rank faculty and approximately 20 lecturers or visiting faculty. Responsibilities include graduate student advising/counseling, interpretation of program and university polices, regulations and requirements, evaluation and monitoring of student progress and fulfillment of degree requirements, the entirety of the annual admission process, and correspondence with prospective students. Also responsible for, TA/Reader/GSR appointments, payroll processing, financial record-keeping and financial transaction processing. Work with MSO and Student Affairs Coordinator to advise the Faculty Directors, Department Chair, program committees and faculty members on all programmatic and administrative matters regarding the Graduate programs. Participate in the analysis, design and implementation of academic programs, policies and procedures, student record systems, long-range planning and website maintenance. Also regularly cover front desk duties and provide information about the department via email, phone or in-person.

The Department of Literature serves approximately 75 PhD students, 25 MFA students, 49 ladder-rank faculty and approximately 15 lecturers or visiting faculty. Responsibilities include graduate student advising, interpretation of program and university polices, regulations and requirements, evaluation and monitoring of student progress and fulfillment of degree requirements, facilitating the annual admission process, and correspondence with prospective students. Also responsible for ASE/GSR appointments, financial record-keeping and financial transaction processing. Work with MSO and Student Affairs Manager to advise the Faculty Directors, Department Chair, program committees and faculty members on all programmatic and administrative matters regarding the Graduate programs. Participate in the analysis, design and implementation of academic programs, policies and procedures, student record systems, long-range planning and website maintenance. Also, regularly cover front desk duties and provide information about the department via email, phone or in-person. Applies professional Student Services concepts, policies and procedures in the completion of Student Services assignments that are of limited scope and impact. Receives instructions on most work assignments, and regularly consults with Student Services specialists in the course of completing increasingly complex assignments. Follows standard practices and procedures in analyzing Student Services situations or data from which answers can be readily obtained. Exercises some judgment within defined procedures and policies to determine appropriate action.

  • Overtime and weekends may be required.
  • Experience in academic advising. Working knowledge of University policy and procedures governing academic affairs, graduate student admissions requirements, and student services.

  • Demonstrated knowledge and experience working with a diverse student population. Multicultural competencies; ability to work with diverse populations.

  • Thorough knowledge of personnel/payroll policy and procedures, graduate student benefits, and Division of Graduate Education and Postdoctoral Affairs requirements.

  • Demonstrated knowledge of UC and the department/school/college.

  • Proven skill in analysis, development, implementation, organization and management of academic and student programs and processes.

  • Excellent interpersonal skills. Strong oral and written communication skills. Ability to compose correspondence reports for Director's signature. Ability to understand and follow oral and written instructions.

  • Demonstrated ability to interpret and implement program goals and policies regarding graduate education.

  • Proficient use of PCs for word processing, database management, accounting and electronic mail. Knowledge of Microsoft Word, Excel, and email technology.

  • Experience and skill to demonstrate strong leadership, organizational, planning, decision making and management practice techniques. Ability to work as part of a team.

  • Proven ability to communicate and convey information relevant to departmental affairs effectively and in a timely fashion to MSO.

  • Strong skill in problem solving, negotiation, and conflict resolution. Ability to compile, interpret, and analyze data utilizing a variety of resources.

  • Skill to articulate program descriptions and requirements to a variety of individuals with broad educational, cultural, and language backgrounds utilizing tact, diplomacy and discretion.

  • Skill to prioritize and organize workload. Ability to work effectively with frequent interruptions and successfully move multiple tasks through to completion. Maintain confidentiality in accordance with established policies.

  • Background Check required.

Pay Transparency Act

Annual Full Pay Range: $37,900 - $85,300 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $18.15 - $40.85

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
