Job Summary

The Rheumatology and Endocrinology Divisions in the Dept. of Medicine are seeking an experienced individual who is detail-oriented with excellent communication skills, both verbal and written, who can prioritize and manage multiple projects with demanding timeframes in a dynamic environment. The Admin.Officer will support provide administrative support to the Rheumatology and Endocrinology Divisions of the Department of Medicine (60% effort), as well as provide support to the PREMIER Center for the Advancement of Precision Medicine in Rheumatology (40% effort). The Admin Officer will work with the division manager and the core administrative team to provide support for the Endo and Rheum and Endo Clinical Fellowship programs, as well as general administrative support for the Divisions.

The Admin Officer also provides administrative support to the P30 PREMIER Center (Center for the Advancement of Precision Medicine in Rheumatology) directed by the Principal Investigator (PI), Dr. Mary Nakamura in the Division of Rheumatology.  The Admin Officer will work closely with Dr. Nakamura and Dr. Mehrdad Matloubian, Science Coordinator for PREMIER. The scientific center goals are set by the PI and the PREMIER Leadership Group and the monthly and day-to-day operational goals are overseen by the Science Coordinator and the PI.  The administrator will communicate with Center membership, organize and facilitate events as defined by the grant criteria (meetings, symposia, retreat, seminars, etc), facilitate requests for proposals for Core Usage Grants, collect paperwork needed for reporting, collect key performance indicators/metrics to maintain databases and assist with marketing material for events. 

Although most regular work for this position can be done remotely, there will be some occasions when the administrator will need to come into the office for meetings and/or other on-site events, e.g., fellows graduation, fellows orientation, etc.

Please note: The compensation ranges listed online for roles not covered by a bargaining unit agreement are very wide, however a job offer will typically fall in the range of 80% - 120% of the established mid-point. An offer will take into consideration the experience of the final candidate AND the current salary level of individuals working at UCSF in a similar role.

For roles covered by a bargaining unit agreement, there will be specific rules about where a new hire would be placed on the range.

Department Description

The Division of Rheumatology is a part of the Department of Medicine (DOM) at UCSF. The mission of the Rheumatology Division includes research, teaching and patient care. The Division has activities at multiple sites including Parnassus, Laurel Heights and Mission Bay. The Division runs several clinical practices, conducts basic and clinical research, and educates medical students, residents, clinical fellows and postdoctoral scholars. In addition, the Division has significant and complex financial and administrative relationships with DOM and the UCSF Medical Center, as well as large patient care programs, large clinical, federal, and privately supported research programs and seven faculty laboratories. The Rheumatology Division has 17 full-time faculty, nine clinical fellows, seven post-doctoral research fellows, seven WOS faculty, and 23 research and administrative staff. The Division has a sponsored research portfolio of $10+ million per year including over 40 sponsored awards, as well at the Russell Engleman Rheumatology Research Center which has an endowment principal of $30 million and generates income of $1.3 million per year in support of its clinical, research, training, and service missions. The PREMIER Center is a P30 resource-based core center funded by NIH / NIAMS. Its mission is to promote research in precision medicine across the UCSF campus through the provision of specific services, consultations, educational activities, and pilot funding.


Required Qualifications

  • Bachelor's degree in related area and one or more years of relevant experience and / or equivalent experience / training.
  • Working knowledge of common organization-specific and other computer application programs like Microsoft Office including Outlook, Excel, Teams, Word, Powerpoint. Also Doodle and other meeting time finding applications.
  • Knowledge (or ability to learn quickly) UCSF operations including MyExpense, Connexus, UCSF Advance, My Reports, PeopleSoft, PeopleConnect and Bear Buy.
  • Solid organizational skills and ability to multi-task with demanding timeframes.
  • Ability to use discretion and maintain all confidentiality.
  • Ability to use sound judgment in responding to issues and concerns.
  • Ability to work independently.
  • Ability to multi-task and prioritize tasks.
  • Professionalism—able to maintain the utmost professionalism in all situations and work effectively with stakeholders who range from community partners to university leadership to donors.

Preferred Qualifications

  • 2 years work experience in a related field
  • Knowledge of public health topics
  • Knowledge of key UCSF software such as listed above
