Job Description

The Associate Director, Facilities, Events and Services (ADFES) leads a team within the Student Activities Office (SAO) responsible for facility management of a decentralized student union model which includes: LaFortune Student Center, Duncan Student Center, Washington Hall, Stepan Center, Creek House, and Library Lawn. The ADFES oversees support for reservations, events, and services provided to University recognized student clubs and organizations and campus departments; leads a team who facilitates departmental approval for all University recognized student club and organization travel, imprinting, fundraising, solicitation, surveys, petitions, and food service requests; serves as the systems administrator for the student group event management software system; and coordinates office assessment and reporting. Additionally, the ADFES advises student organizations as needed and helps ensure a welcoming, hospitable, and effective experience for visitors within SAO operated facilities.

This position is responsible for the administration and management of facility operations, general services, and maintenance, ensuring that the facilities and activities align with the mission of SAO to advance student success. The responsibilities of this position encompass a wide variety of administrative and supervisory duties in the areas of finance, personnel management, and program management; policy development; risk management; assessment, staff development; and project management. The Associate Director serves as a member of the departmental leadership team. The ADFES is a full-time 12-month position with a significant amount of late night and weekend responsibilities throughout the academic year, as well as some limited evening and weekend responsibilities throughout the summer.

Essential Duties and Responsibilities:

  • Oversees Facilities, Events and Services team, directly supervising 3 full-time Assistant Directors, 1 full-time Office Services Coordinator, and 1 full-time Operations Assistant, as well as indirectly supervising 4 full-time Program Coordinators and 100+ student employees. Ensures students, staff, and all who come into contact with the department through any SAO managed facility are welcomed and assisted in a helpful and timely manner, developing a culture of customer service that supports a welcoming, inclusive, and engaging environment. Ensures safe and welcoming environments in all SAO managed facilities through the building of collaborative relationships with building tenants and campus partners: Campus Dining, Building Services, General Services, ExperienceND, Risk Management and Safety, Campus Safety and others; Ensures effective communications around reservations, event management, and satisfaction feedback;
    Ensures effective communication with internal and external customers regarding changes and updates to regular operations.

  • Serves as department lead for a staff that is responsible for approving 1000s of requests for imprinting, University recognized student club and organization travel, fundraising, solicitation, survey, petition, and food service from 500+ University recognized student run undergraduate and graduate clubs and organizations, ensuring consistency with the University mission; Serves as resource on contract matters, liability/risk avoidance and ensuring compliance with University policy; Serves as primary administrator for the student group event management software system, overseeing assessment and reporting for the office.

  • Advises University recognized student clubs and organizations as assigned; Supports events and provides building coverage as needed; Provides on-site supervision of designated events as Event Manager to oversee use, admission receipts, compliance with policies, the hospitality of performer(s) and to assist in problem resolution.

  • Participates as integral member of a large, multifaceted Student Development team interacting daily with colleagues in the Gender Relations Center, Multicultural Student Programs and Services, Office of Student Enrichment, Office of Community Standards, RecSports, University Bands, Family Resource Center and student media groups.

  • Establish a comprehensive strategic plan for areas of direct oversight and ensure facilities and activities support the overall mission of the department. Oversee facility renovation and improvement projects, including the creation of bid specifications, providing project oversight, and ensuring work is done in compliance with University guidelines. Serves as capital project manager including supervision of outside contractors completing work in SAO facilities. Provides leadership for professional staff overseeing student staff and day to day facility operations.

  • Establish a comprehensive risk management plan for the department and ensure compliance with department and university guidelines for risk mitigation, training, and response. Leads all Risk Management functions in collaboration with the Associate Director, Student Programming and Involvement. Serve as liaison to ND Police Department and ND Fire Department.

Minimum Qualifications

  • Candidates must possess a master’s degree, preferably in college student personnel, counseling, higher education or a related area.
  • The successful candidate will have a minimum of five years of full-time experience with departmental administrative responsibilities, student center facilities management, student group advising, and supervising and building successful teams of both staff and student employees.
  • Qualifications include advanced understanding of personal computers (including desktop publishing and Google suite) and strong organizational skills.
  • Additional qualifications include exceptional communication and interpersonal skills necessary to deal effectively with a diverse group that includes students, staff, faculty and the public.
