Posting Summary
Rutgers, The State University of New Jersey is seeking an Administrative Assistant for the Bloustein School of Public Planning and Policy. The reporting to the Executive Director the New Jersey State Policy Lab, the Administrative Assistant/Executive Assistant is the essential liaison between the Policy Lab and various departments, including Human Resources and Financial Services.
Among the key duties of the position are the following:
  • Handles administrative matters for the New Jersey State Policy Lab, including preparing meeting agendas, meeting summaries, research briefs, and other research or evaluation project materials, scheduling meetings, processing forms (e.g., budgets, expenses, etc.), assisting in monitoring project budgets, and preparing financial and progress reports.
  • Provides logistical support for meetings (e.g., co-PI meetings, meetings with clients, funders, and research collaborators, case study interviews, faculty talks during summer internship program, etc.) and events (e.g., speaker series, panel discussions, forum presentations, student presentations during summer internship, etc.).

Qualifications


Minimum Education and Experience
  • Bachelor’s degree and administrative management experience (preferably in an academic setting) demonstrating knowledge and understanding of office administration, work organization, coordination, facilitation, and report writing principles and practices; or an equivalent combination of education and/or experience.
Certifications/Licenses
Required Knowledge, Skills, and Abilities
  • Must have exceptional interpersonal skills.
  • Requires the ability to work independently.
  • Requires excellent verbal and written communication skills, strong organizational abilities and attention to detail, computer literacy, and general Internet and electronic communication skills.
  • Other duties as assigned.
  • Must be committed to using research as a tool for achieving equity.
Preferred Qualifications
  • Familiarity with public policy research.
Equipment Utilized
  • The position is expected to have a strong command of Microsoft Excel, Word, and PowerPoint.
  • Must be proficient in Adobe, Zoom, Teams, and basic website software.
  • Experience with report design software would be helpful.
Physical Demands and Work Environment
  • This position may require an ability to lift and move boxes as events require.

Immunization Requirements


Under Policy 60.1.35 Immunization Policy for Rutgers Employees and Prospective Employees , Rutgers University requires all prospective employees to provide proof that they are fully vaccinated and have received a booster (where eligible) against COVID-19 prior to commencement of employment, unless the University has granted the individual a medical or religious exemption. Employees who are not eligible for a booster at the time of an offer of employment must provide proof they have received a booster upon eligibility and upload proof of same. Under Policy 100.3.1 Immunization Policy for Covered Individuals , if employment will commence during Flu Season, Rutgers University may require certain prospective employees to provide proof that they are vaccinated against Seasonal Influenza for the current Flu Season, unless the University has granted the individual a medical or religious exemption. Additional infection control and safety policies may apply. Failure to provide proof of vaccination for any required vaccines or obtain a medical or religious exemption from the University will result in rescission of a candidate’s offer of employment or disciplinary action up to and including termination.
