Essential Job Duties

The primary purpose of this position is to manage the graduate student life cycle from admitting a student through graduation. This position works directly with students in addition to representatives in assigned colleges and departments across campus. This includes processing of all required forms and insuring that students comply with all Graduate School and University policies.

Specific duties and responsibilities of the College Liaison include but are not limited to the following:
  • Reviewing admission recommendations from assigned colleges/departments
  • Approving graduate advisory committees
  • Approving masters and doctoral plans of work
  • Approving a variety of student record updates (curricula changes, committee updates, transfer credit, schedule revisions, extensions of IN grades, extensions of time to complete degree programs, leaves of absence, terminations of programs etc.)
  • Receiving and evaluating requests for exceptions to current Graduate School policies or inconsistencies
  • Approving students graduation applications

Other Responsibilities

Back-up for Other Staff/Other Duties as Assigned:
  • Assisting with other tasks in the office during peak periods as requested by the Assistant Dean for Student Administration & Academic Affairs or Director of Admissions & Enrolled Students, including processing of applications for admissions, scanning documents, and opening and distribution of the mail.
  • In the absence of other College Liaisons, performing work for their assigned students and colleges/departments.
  • Making suggestions for changes and improvements in processes that will improve efficiency and service to customers.

Minimum Experience/Education

Bachelor’s degree; or an equivalent combination of training and experience.
 
All degrees must be received from appropriately accredited institutions.

Other Required Qualifications

  • Experience in MS Office or similar software.
  • Related experience in Graduate Education.
  • Excellent interpersonal and communication skills; ability to interpret and answer a variety of questions.
  • Ability to interpret policy and make independent decisions based on a set of general guidelines; sound decision-making skills.
  • Ability to cooperate with and work effectively with campus offices.
  • Attention to detail and high degree of accuracy.
  • Sound organizational skills; initiative to find and implement better and more efficient ways of performing job tasks.
  • Ability to be dependable and punctual.
  • Ability to work under pressure.

Preferred Qualifications

  • Four year college degree
  • Experience in office software applications including Knowledge of Peoplesoft (MyPack Portal—SIS), SLATE, OnBase, and Gmail
  • Knowledge of Graduate programs and Graduate School policies and procedures, and University policies.
  • Good communication skills and the ability to analyze a problem and come up with an answer.
