Our Communications Department is seeking a Department Operations Coordinator to support our department operations, including staff experience, physical space, and cultivate an environment (physical and virtual) that promotes connection, efficiency and productivity. The communications department are approximately one hundred forty staff who are responsible for visual and communications products that range from classified technical papers to the design of conceptual displays and beyond.  It’s a vibrant team of creatives who must be agile and responsive to the many needs of the Lab.

 

As a Department Operations Coordinator…

  • Your primary responsibility will be acting as the project coordinator and execute COMMs Department initiatives.
  • You will work closely with the Communications Business Operations office and the department Senior Leadership Team to ensure an exceptional overall staff experience and improve business functionality.
  • You will work closely with the COMM Business Operations Team and the Technology Manager and will manage the COMM software.
  • You will monitor the COMM training requests and work closely with the Group Admin assistants processing the new requests.
  • You will lead the New Staff Orientation Program (NSOP) and ensure the new hire process is a seamless experience during the first two weeks at APL.
  • You will be responsible for the coordination of the COMM recognition program.
  • You will manage the enterprise unassigned space including hotel spaces, agile workspaces, and others.
  • You will be responsible for maintaining COMM enterprise tools
  • You will identify problems, provide solutions and improve processes and procedures.
  • You will work with the Senior Leadership Team to develop a highly engaging culture that is responsive to the needs of our creative staff.
  • You will use APL systems and business knowledge to proactively find agile solutions and processes.
  • You will partner with communications leaders to promote collaboration and improved staff productivity and effectiveness across the department.
  • Other duties as assigned.

Qualifications

You meet our minimum qualifications for the job if you...

  • Have a Bachelor's degree in a Business area, Industrial Engineering, or another related discipline or 4 or more years of relevant experience in the areas of business operations and staff experience
  • 2+ years of experience in coordinating and leading initiatives
  • Have the proven ability to be a self-starter with a high level of initiative and ability to effectively communicate with internal and external customers.
  • Prior experience within workplace engagement
  • Have a demonstrated record of taking initiative and willingness to project a positive work attitude.
  • Possess the ability to develop and assess alternative approaches and to solve routine problems in a different, more efficient way.
  • Have the capacity to organize and reprioritize work assignments to meet evolving needs.
  • Have excellent interpersonal and organizational skills.
  • Have demonstrated communication skills (written and verbal) and excellent proofreading skills.
  • Discretion in handling sensitive personnel and organizational information.
  • Are skilled in the use of desktop computer applications, including but not limited to Outlook, Word, PowerPoint, Excel, Asana, and Slack, Power Bi.
  • Are able to obtain Secret level security clearance. If selected, you will be subject to a government security clearance investigation and must meet the requirements for access to classified information. Eligibility requirements include U.S. citizenship.
