Position Summary/Purpose of Position:

This position serves as part of the team that provides the primary administrative operations support to the Office of the Vice President for Student Affairs (OVPSA) in the Division of Student Affairs. This position provides important and excellent customer service to the division’s internal and external constituents. The position provides receptionist coverage via phone and email, coordination of calendars and conference rooms, preparation of meeting materials, and secondary supervision, training and performance feedback for student office assistants. Supports the office through inventory management and purchasing of supplies, coordination of parking requests from staff, and maintenance of common area spaces in the office such as kitchen, copy area, and supply closet.

Minimum Qualifications:

Education:
High School Diploma or GED

Experience:
3 years experience providing administrative support.

Knowledge, Skills, and Abilities:
  • General knowledge of and skill in the practical application of generally accepted office practices and procedures.
  • Ability to communicate effective both orally and in writing.
  • Ability to proofread and edit written documents.
  • Skill in various computer software packages, such as word processing, spreadsheets, database, and presentation programs, Internet, email and calendaring software.
  • Ability to understand and follow oral and written instructions.
  • Ability to interact effectively with internal and external parties in a courteous and efficient manner.
  • Ability to plan, organize, prioritize, and execute multiple and continuing assignments with general instructions.

  • Excellent interpersonal, oral, and written communication skills, attention to detail, and be a creative problem solver.
  • The ability to respond to various requests simultaneously and provide excellent customer service.
  • The ability to work independently, exercise good judgment, and possess the highest degree of discretion and confidentiality.
  • Computer skills: Proficiency in Microsoft Excel, Word, PowerPoint, Google Apps (GMail, Doc, Spreadsheet, Meet, etc.), Zoom, and other applications.
