Job Summary

Reporting to the Director of Center for Global Engagement, we are looking for a experienced and motivated administrative assistant to support our mission of promoting international education and promoting cross-cultural understanding. You will play a vital role in providing administrative and operational support to the office staff, faculty, students, and external stakeholders. Primary responsibilities will include, provide administrative support for the Director and CGE staff, Serve as primary contact for the director and the department, event coordination and management, financial and vendor management, student services management and support student services.

Responsibilities*

Director for Global Engagement Administrative Support

  • Serve as the primary contact for the Director scheduling and support with day-to-today operations, special projects, reviewing partnership agreements and grant proposals.
  • Assist with departmental purchases, process payments, and vendor management.
  • Generate and process general budget and procurement forms.
  • Take meeting minutes.
  • Manage Purchase Orders and invoice payment for the Director.
  • Coordinate and support Center for Global Engagement advisory committee
  • Provide support for assessment of CGE programs and services.
  • Assist with domestic and international travel arrangements.
  • Support the Director with grant writing, Request for Proposals reviews, and generate reports.
  • Budget maintenance and reporting
  • Assist with departmental document reviews.

Center for Global Engagement

  • Be the lead customer service representative for the Center for Global Engagement.
  • Receive and respond to routine departmental correspondence.
  • Recruit, hire, supervise and train Center for Global Engagement student ambassadors, including payroll management.
  • Provide administrative support for the Center for Global Engagement staff that may include scheduling travel arrangements, preparing expense reports, Pro-Card reconciliation and assistance with event planning.
  • Following the guidelines, maintain the budget, procurements and financial record keeping
  • Update and maintain all marketing and print promotional materials including preparing and distributing the Center for Global Engagement news?s letter.Purchase and maintain CGE?s promotional material inventory.
  • Assist with International and Global Studies program administration

Scholarship and Special projects Coordination

  • Provide project coordination and logistical support for activities such as international student orientation, international student engagement and success activities, Education Abroad/Study Away orientations, international education week, faculty fellow program, international delegation campus visit etc.
  • Coordinate the call and receipt of departmental scholarships
  • Distribute approved scholarships, recordkeeping and follow up.

Required Qualifications*

  • Associates degree or equivalent combination of relevant education and experience
  • 4 or more years of relevant experience in an administrative support role

Work Schedule

A consistent hybrid work schedule (some days on campus and some days working remotely) is available for this position at this time. However, this is subject to change based on the responsibilities of the position and the needs of the department.
