Job Description

This position will report to the Program Officer II over records. Incumbent will assist in the Admission Module and will be assigned to the North Las Vegas Campus. This position will be expected to work under limited supervision on assigned projects in support of the Program Officer II. This individual will be required to become proficient in the software used by the office/CSN including the student information system (PeopleSoft), customer relationship management software (greymatter) and other office applications. Daily attendance and punctuality is expected, as is, effective written and oral communication. The position will support the Office's operations at all CSN locations, as needed and assigned, in alignment with the multi-campus model of the college. Duties of this position include, but are not limited to the following:

Under direct supervision, responsibilities include, but are not limited to:

  • Quickly resolve admissions applications suspended in the admissions application staging file.
  • Verify possible matches to the application and check and resolve errors that prevent the application from automatically processing.
  • Complete quality control checks to reduce/prevent fraudulent files from coming through.
  • Contact potential and previous students to verify information to prevent duplicate records or the merging of separate records.
  • Add "Bio-Demo" and "Potential Fraud" service indicators when there is a name, date of birth, or social security number mismatch on applications matched to previous students.
  • Manage assigned email accounts to resolve problems in the admissions application process.
  • Research and find solutions to issues pertaining to admissions application process.
  • Prepare reports using spreadsheets to summarize statistical data pertaining to admissions for review by internal and external entities.
  • Provide support to the CRM System. Including assisting in testing of upgrades and enhancements that pertain to Admissions module.
  • As needed, assist with office operational needs as directed by the direct supervisor/office head.


Other Associated Factors:

  • This position requires sitting at a desk for much of the time.
  • Work is normally performed in a typical office work environment.
  • This position requires some walking, bending, and lifting up to 15 lbs.
  • This position will require working additional hours during heavy registration periods and must be available to work at any of our three main campuses on any given day to assist with front-desk coverage.



Required qualifications:

Graduation from high school or equivalent education and three years of clerical experience, two years of which was in a college admissions and/or records office or relevant student services area which included records maintenance, public/customer relations, evaluation of detailed information and documents, and the explanation of complex policies and procedures; OR one year of experience as an Admissions & Records Assistant II in Nevada State service; OR an equivalent combination of education and experience as described above.

Preferred qualifications:

  • 4 years working in a community college, Office of the Registrar or Admissions setting.
  • Knowledge and commitment to the community college mission - especially HSI institutions.
  • Strong technical background
  • Effectively utilize computer software such as Word, Excel, Adobe Acrobat.
  • Experience working with a diverse/multicultural student body and/or workforce.



Starting Salary

Grade 27, Step 1 $ 37,166.40

Per Nevada Administrative Code (NAC 284.170), salaries for initial appointments for classified positions typically begin at Step 1.
