Description

We are seeking an experienced Administrative Specialist to provide administrative and clerical support to the Division Chief and Management Services Officer in the Division of Nanomedicine. The focus of this position will be to maintain complex calendar for the Division Chief, coordinate and arrange travel, as well as prepare and monitor expense reimbursements for Division Chief, Nanomedicine faculty and visiting faculty, staff and postdoctoral scholars. Serve as liaison for Division Chief between campus colleagues, collaborators, outside visitors and staff. Coordinate the scheduling of all visiting faculty. Answer and triage incoming calls using multi-line phone and take accurate phone messages and handle general inquiries regarding the Division. Compose, type, edit and format correspondence, manuscripts, grant proposals, reports, tables and slides from handwritten and electronic form and from dictated materials. Maintain and update Division Chief and other faculty’s curriculum vitae. Initiate response to routine correspondence on behalf of faculty and by composing grammatically correct letters/memos for signature. Assist with Conference IT/AV set up and calendar scheduling. Trouble shoot IT and other software issues for the Division Chief and Division. Retrieve reference materials from online sources. Maintain database on faculty vacation and meeting travel information. Maintain and coordinate division website and division marketing/development materials. Salary Range: $22.03-$43.68/Hour



  • JOB QUALIFICATIONS

Qualifications

Required: · Ability to prioritize and organize projects through multiple phases. Ability to meet deadlines and to follow through on multiple tasks simultaneously with careful attention to detail and with minimal supervision. · Demonstrated excellent skills in typing and word processing skills to prepare correspondence, reports, technical manuscripts and other documents with speed and accuracy. · Demonstrated skill in using personal computer and specialized software (MS Office Suite) to prepare graphs, flow charts, tables, slides, etc. · Demonstrated writing skills to independently compose routine business correspondence and meeting minutes into final form. · Demonstrated editing skills to identify errors in grammar, syntax, punctuation and spelling. · Math skills sufficient to process reimbursement forms. · Ability to establish and maintain a complex diverse filing system for ease of data retrieval. · Interpersonal skills to effectively develop and maintain cooperative working relationships with faculty, administrators, students and with elderly patients. Ability to communicate effectively and function in a team-oriented work group. · Ability to performance and create simple reconciliation and reports as requested. · Ability to coordinate events including symposiums and meetings
