Job Summary

The Clinical Research Coordinator (CRC) will perform independently or with general direction at the fully operational journey level of the series to execute, manage, and coordinate research protocols, as directed by the Clinical Research Supervisor and/or Principal Investigator (PI); may coordinate the data collection and operations of several concurrent clinical research studies under the guidelines of research protocols, UCSF and regulating agency policies.

The CRC’s duties may include, but will not be limited to supporting the management and coordinating the tasks of single or multiple clinical research studies, depending on their size and complexity; act as intermediary between services and departments while overseeing data and specimen management; manage and report on study results; create, clean, update, and manage databases and comprehensive datasets and reports; coordinate staff work schedules, assist with training of Assistant CRCs, and assist Clinical Research Supervisor and / or PI with oversight of other research staff; manage Investigator’s protocols in the Committee on Human Research (CHR) online system, as well as renewals and modifications of protocol applications and the implementation of new studies; participate in the review and writing of protocols to ensure institutional review board approval within University compliance; help assure compliance with all relevant regulatory agencies; oversee study data integrity; implement and maintain periodic quality control procedures; interface with departments to obtain UCSF approval prior to study initiation; maintain all regulatory documents; report study progress to investigators; schedule and meet with study monitors for study monitoring visits; participate in any internal and external audits or reviews of study protocols. It is expected that the incumbent will spend about 50% of the time performing the clinical research coordinator role.

The Clinical Research Coordinator will spend time assisting and backing up the analyst bioengineer running the Adaptive Optics Scanning Laser Ophthalmoscope (AOSLO). Will perform data analysis on images acquired using AOSLO. Creating montages and superimposing images obtained in the clinic using optical coherence tomography and fundus photography, backing up acquired data to designated servers and repositories and maintaining a comprehensive log of the data that has been acquired, processed and backed up, scheduling subjects for imaging, and training new lab members to acquire images and analyze data using the AOSLO system.

Please note: The compensation ranges listed online for roles not covered by a bargaining unit agreement are very wide, however a job offer will typically fall in the range of 80% - 120% of the established mid-point. An offer will take into consideration the experience of the final candidate AND the current salary level of individuals working at UCSF in a similar role.

For roles covered by a bargaining unit agreement, there will be specific rules about where a new hire would be placed on the range.

Department Description

The UCSF Department of Ophthalmology is one of the leading ophthalmology departments in clinical care, training, and research nationwide. The Department of Ophthalmology is one of the largest recipients of federal grant funds among peer departments and has been in the top 10 in National Institutes of Health (NIH) funding. Additionally, we have been the #1 recipient of the Research to Prevent Blindness funding nationwide with nearly $1.2 million granted in a single year. Overall, the Department has a wide-ranging portfolio of 60 active research grants.

Ophthalmology’s annual patient charges reach $65,000,000 with a wRVU total of 115,000. The Department’s overall operating budget is approximately $27,000,000 per year. Our Department currently ranks no. 3 in the country in NIH funding. Ophthalmology conducts its patient care, teaching, research, and public service activities currently at multiple UCSF campuses: Parnassus, Mt. Zion, Veteran’s Administration Medical Center (VAMC), Zuckerberg San Francisco General (ZSFG), and Benioff Children’s Hospital at Mission Bay.

The Department currently occupies over 60,000 of assignable square feet of space at various sites across UCSF campuses for research, academic and clinical activities. In the beginning of 2020, our Department will move the new state-of-the-art Center for Vision Neurosciences building in Mission Bay. The Department supports 30 full-time clinical faculty, 10 basic scientists, over 50 volunteer and visiting faculty. Each year, we train over 15 residents, seven clinical fellows, and approximately 20 postdoctoral scholars and graduate students. Our staff roster reaches over 250 Full Time Employees (FTEs) (including UCSF Health employees).


Required Qualifications

  • HS graduation and sufficient experience and demonstrated skills to successfully perform the assigned duties and responsibilities;  and/or equivalent experience/training
  • Experience or ability to master software programs including MATLAB, i2k Retina, Adobe Illustrator, and Photoshop
  • Attention to detail; strong interpersonal skills; excellent, effective verbal and written communication skills to coordinate with subjects, team members, other departments, and outside institutions; and the ability to multi-task in a fast-paced environment while working with a diverse subject population
  • Fine manual dexterity skills ensuring accurate recordings
  • High precision and meticulous attention to detail in all tasks and duties, especially in analyzing data
  • Ability to recognize and correct errors, irregularities, and invalid results; excellent critical thinking skills (e.g., for unexpected needs in clinical adaptation) with ability to investigate unanticipated side effects and/or problems
  • Ability to perform calculations, compile, and summarize data as well as present data (creating graphs, charts, tables, etc.)
  • Ability to learn new methods and techniques of image processing as new developments occur
  • Ability to schedule/organize individual work within specific assignments and deadlines and work independently
  • Ability to work well independently, complete projects in a timely manner, and prioritize multiple projects to ensure the completion of essential tasks by deadlines

Preferred Qualifications

  • Bachelor’s Degree in science-related field and sufficient experience and demonstrated skills to successfully perform the assigned duties and responsibilities
  • Fluency in the usage of Committee of Human Research (CHR) online iMEDris system for submission, renewal, and modification of protocols through this system.
  • Understanding of patient population to create rapport and a relationship, while also giving insight into what is realistic and appropriate for patient participation.
  • Experience with electronic medical records.
  • Knowledge of UCSF and departmental policies for dealing with reimbursement, guidelines for research, confidentiality and HIPPA regulations, following the UCSF mission statement and purpose for research, and a clear understanding of policies and procedures on patient safety and confidentiality (electronic and hard copy medical records, patient charts, communication, etc.); knowledge of medical terminology, research policies and guidelines, guidelines for packing/shipping infectious substances, database building/analysis, and data management within some of the following:  Access, Stata, SASS/ SPSS, and Teleform programming platforms.
  • Experience applying the following regulations and guidelines:
    • Good Clinical Practice Guidelines
    • Health Information and Accountability Act (HIPAA)
    • The Protection of Human Research Subjects
    • CHR regulations for recruitment and consent of research subjects
    • Effective Cash Handling Procedures
    • Environmental Health and Safety Training
